Deadline Approaching for QuickBooks Desktop Users

All QuickBooks Desktop Users Are Required to Upgrade to a Current Subscription Model by Sep 30. Yes, the time has come to buy in to the software subscription model or lose access to your books. But at least you get to keep using QuickBooks desktop software, which is worth a lot of you’re already invested in QuickBooks.

Effective Sep 30, 2024, all existing users of QuickBooks Desktop Pro, Premier, Mac, and Enterprise Solutions v21 (and earlier) must transition to the annual subscription model. For Pro and Premier users, this is a short reprieve. Previously Intuit had announced a July deadline for renewing Pro/Premier licenses. After the now-September deadline, there won’t be any new sales of Pro or Premier licenses. With some of the recent price increases it almost becomes a moot point, as QB Enterprise is now priced similarly (less?) than Premier.

Something notable in all of this is that versions sold under non-subscription one-time licenses will be discontinued entirely. That is just fine for many users, however, as the much older versions don’t “phone home” to authorize the license, so they can keep working. The downside to that is vulnerability. Outdated and unpatched software is more vulnerable to risk than software that is actively updated to protect against various exploits. Best practices demand keeping software updated and patched. Being out of support with your business financial and accounting software is not a position you want to find yourself in.

Starting Oct 1, 2024, QuickBooks Enterprise will be the only QuickBooks Desktop version available for new purchases. For very small businesses, this is going to be a challenge as QB Enterprise is not as affordable as Pro was. These businesses may find that QuickBooks Online works for them, but they will not only miss out on a great deal of QB Desktop functionality that is not present in Online, but they will also be locked into the QuickBooks Online service model of receiving product updates without announcement, not having a backup of your company data, getting bombarded with a revolving door of add-on apps, and having literally no control whatsoever of where your data lives and how Intuit and its companies are accessing it.

If you are using an older version of QuickBooks Desktop, upgrading to the subscription model before the deadline is crucial to avoid any interruption of services.

What does this mean?

Intuit offers “cloud access” with their QuickBooks Enterprise licensing, but this option is not your only or best option for running your QuickBooks Desktop/Enterprise software in the cloud.

Intuit Makes Moves to Push Low-End QuickBooks Users to Online Edition

QuickBooks Pro and Premier Subscriptions No Longer Available After July, and It’s Bye Bye for QuickBooks for Mac

 

Final sale date for QuickBooks Pro and Premier

On November 30 of this year, Intuit notified its partners and customers that the final date for new sales of QuickBooks Desktop Pro, Desktop Premier, Mac, and Desktop Enhanced Payroll is July 31, 2024. Starting in August, QuickBooks Pro and Premier subscriptions, along with Mac versions and desktop payroll services, will no longer be available for purchase. QuickBooks Enterprise, which is a desktop edition, is the only QuickBooks version that will remain available for new subscriptions. 

For several years, Intuit has been improving their online version of the product while migrating as many customers as possible to that platform. Now, businesses that have invested years of user training and business process development are forced to decide if the online version of QuickBooks will meet the needs that the desktop editions have for years, and they must look at the realities of potentially re-training users and re-developing workflows and processes. 

QuickBooks Enterprise is a viable alternative 

The alternative is that businesses adopt QuickBooks Enterprise edition and retain the value of user knowledge and process support by remaining in desktop QuickBooks. For businesses that manage multiple company files, QuickBooks Enterprise provides the same multi-company capabilities that Pro and Premier do, something the online edition does not currently support. 

There is no change to QuickBooks Desktop Enterprise subscriptions. All QuickBooks Desktop Enterprise subscriptions (Silver, Gold, Platinum, and Diamond) will continue to be available for purchase for new customers. QuickBooks Enterprise Gold, Platinum, and Diamond subscriptions include integrated payroll. 

Flexibility of Desktop Applications on the Cloud 

With the announcement, many accounting professionals and their clients are not sure what the best path forward is. While there is momentum behind the online application, there are options for staying with QuickBooks Desktop and still take advantage of the cloud.

What to Do 

To avoid losing access to QuickBooks desktop, businesses should purchase a QuickBooks Desktop Pro Plus, Premier Plus, or Mac Plus subscription through the QuickBooks Accountant Sales team before July 31, 2024. Businesses that need a desktop payroll solution should consider purchasing a QuickBooks Enhanced Payroll subscription before July 31, 2024, or upgrade to QuickBooks Enterprise Gold, Platinum, or Diamond, all of which include integrated payroll and can still be purchased after July 31, 2024.

QuickBooks Desktop Enterprise 2024 Security Improvements: Now with 256-bit encryption

Intuit’s release of QuickBooks Enterprise and other desktop editions for 2024 have a variety of new features, and among them is an improved level of security for your business data. Upgrading from 128-bit encryption, QuickBooks Desktop 2024 now has AES 256-bit encryption.

256-bit encryption is the strongest and most robust encryption standard commercially available. It’s widely used because it’s virtually impenetrable to brute-force attacks. 256-bit encryption is an encryption technique that uses a 256-bit key to encrypt and decrypt data. Plain text is converted to a cipher, and the encryption key is required to decrypt the data and return it to readable plain text.

256-bit encryption is used in most modern encryption algorithms, protocols, and technologies, including AES in wireless security, processor security, file encryption, and SSL/TLS.

According to Intuit, “You can be confident your data is protected with our enhanced security using industry-leading AES 256-bit encryption. QuickBooks safeguards your reputation by protecting critical customer and vendor data, such as business financials, banking information, and credit card details.

This means we translate your information into a code that only we can read to make sure only you and Intuit have access to your information. The type of encryption we use is called AES-256 (Advanced Encryption Standard with 256-bit keys) and it ensures the highest level of cryptographic security.”

With a series of robust security steps and a complex 256-bit decryption key, AES 256-bit standard is nearly impossible to break using brute-force methods and has been approved for the handling of confidential data by the U.S. Government.

A brute force attack is when a hacker tries different combinations until they arrive at the correct combination – the key. The larger the key size, the more difficult it becomes to break the encryption. We’re talking about 256-bit keys. There are 984,665,640,564,039,457,584,007,913,129,639,936 (that’s 78 digits) possible combinations. Even if you use Tianhe-2 (MilkyWay-2), which was the 4th fastest supercomputer in the world in 2022, it will take millions of years to crack 256-bit AES encryption.

In case you’re interested: The fastest supercomputer in the world, ranked in June 2023, is Frontier, an HPE Cray EX system run by the US Department of Energy, Frontier incorporates 3rd Gen AMD EPYC™ CPUs representing 8,730,112 cores that have been optimized for high-performance computing (HPC) and AI with AMD Instinct™ 250X accelerators and Slingshot-11 interconnects. Its HPL benchmark was 1.194EFLOPS (EXA – 1 quintillion – floating point operations per second). (via networkworld.com). Frontier is faster than Tianhe-2, so breaking the key could take a little less time.

Breaking encryption with no known flaws is kind of like guessing a password. If you make enough guesses, you might eventually get the password right. With strong encryption, this can take a long time. AES-256 is the most secure version of AES and is virtually unbreakable by brute force based on current computing power. It’s also considered quantum-resistant, which means that quantum computers aren’t expected to crack the cipher.

How long would it take to crack 128-bit encryption using a brute force attack? Most security professionals would answer “1 billion years”, but that’s just an estimate. A machine that can crack a DES key in a second would take about 149 trillion years to crack a 128-bit AES key. According to researchers, with the right quantum computer, AES-128 would take about 2.6110^12 years to crack, while AES-256 would take 2.2910^32 years. For reference, the universe is currently about 1.38×10^10 years old, so cracking even an AES-128 encryption with a quantum computer could take hundreds of times longer than the universe is believed to have existed.

Keeping Your Financial Software Updated: Annual QuickBooks Desktop Service Discontinuation

It’s time again for the annual QuickBooks Desktop service discontinuation notice, which does not mean in any way that QuickBooks Desktop is being discontinued. Rather, Intuit (the makers of QuickBooks) take this time each year to encourage customers to change to QuickBooks Online edition instead of desktop, or for existing desktop users to {sigh} update their desktop software to keep it working fully.

The features and capabilities of QuickBooks Desktop have evolved over time and through a great deal of usage, making the market-leading accounting software for small businesses something that not even its online counterpart can compete with. While QuickBooks Online edition adoption continues to grow, businesses with more mature and complex requirements continue to rely on the tried-and-true capabilities of the QB Desktop editions.

Yet, as technology and business models evolve, so must certain aspects of the beloved QuickBooks Desktop products. Many of these evolutionary changes center on services delivered within the QuickBooks product or as add-on benefits of a particular license type. With identity, license and service management now being handled, at least in part, via web services, QuickBooks is ever-more reliant upon the Intuit.com account and the ability to validate users, roles, license, and services. It is in these areas that service discontinuations tend to focus as older versions of the product no longer support the new methods.

Here is the information Intuit provides regarding service discontinuation for older versions of QuickBooks Desktop (sans the “migrate to QuickBooks Online” messaging).

When does service discontinuation happen and what does it mean?

Access to QuickBooks Desktop add-on services, live technical support, software updates and security patches are all discontinued after May 31, 2023 for QuickBooks Desktop for Windows 2020. This includes all 2020 versions of QuickBooks Desktop Pro, Premier, and Enterprise Solutions (v20). Versions of QuickBooks Desktop earlier than 2020 were discontinued previously, as this is an annual occurrence.

Here is Intuit’s statement regarding service discontinuation:

“Your access to QuickBooks Desktop Payroll Services, Live Support, Online Backup, Online Banking, and other services through QuickBooks Desktop 2020 software will be discontinued after May 31, 2023. This also means you won’t receive critical security updates starting June 1, 2023. If you receive any security updates before this date, install them.

Products affected by service discontinuation after May 31, 2023.

  • QuickBooks Desktop Pro 2020
  • QuickBooks Desktop Premier 2020 (General Business, Contractor, Manufacturing & Wholesale, Nonprofit, Professional Services, and Retail)

Keeping your software up to date is important for a variety of reasons. Not only are new features introduced and software bugs patched or fixed, but security enhancements are introduced regularly to keep your data and accounts safe. Further, regulatory and compliance factors play into some of these updates, as is often the case with online banking service and the like.

Securely connecting to bank feeds, email systems, identity management services and other aspects of software functionality and integration are among the reasons for making sure your accounting software is being updated.

For businesses that don’t use or rely on any of the above services for QuickBooks, the software will continue to work. But, even if the software works after the May 31 date, it might not be a great idea to stay on an older un-updated un-patched and semi-functional version of financial software that you run your business and manage your finances with. Love It or Leave It? QuickBooks Desktop Needs Internet Explorer 11 and Microsoft Uninstalls It.

We all know that software companies recommend running current versions of their frameworks and applications. Often for security reasons, software developers regularly update their products to make them more capable of avoiding or fending off attack of various kinds. New feature and integration delivery and updated compatibility requirements are also big drivers of software updates. Especially as online threats increase and attack potential skyrockets, businesses need to keep their systems updated and secure, and a regular cadence of updates and upgrades makes good sense… but only when the potential impacts of the upgrade have been thoroughly explored. With Windows 10 and 11 and the improved Edge browser (improved over IE), users are loving the enhancements and features. QuickBooks desktop users, on the other hand, might have preferred that Microsoft just leave Windows browsers alone.

The Internet Explorer 11 desktop application will be retired and go out of support on June 15, 2022

Microsoft is removing Internet Explorer 11 on some Windows 10 computers, and it doesn’t come with Windows 11. According to Microsoft:

The future of Internet Explorer (“IE”) on Windows 10 is in Microsoft Edge. What does this mean for commercial organizations, IT admins, developers, and end users? Microsoft Edge brings you a faster, more secure, and more modern web experience than Internet Explorer. Also, Microsoft Edge with Internet Explorer mode (“IE mode”), is the only browser with built-in compatibility for legacy IE-based sites and apps.

As announced today, Microsoft Edge with IE mode is officially replacing the Internet Explorer 11 desktop application on Windows 10. As a result, the Internet Explorer 11 desktop application will go out of support and be retired on June 15, 2022 for certain versions of Windows 10.

Internet Explorer 11 has been an old technology browser for many years now, so it isn’t surprising that Microsoft is moving ahead with Edge. Browsers are used for far more than just viewing static web pages or bulletin-board chat rooms, so they have grown into frameworks that support a wide variety of processes and procedures. As browsers go, IE11 just doesn’t cut it any longer. But there is a hitch that can really mess up the (literally) millions of QuickBooks desktop users out there who innocently update their computers when Microsoft pushes it via Windows update.

IE11 gets removed from the machine, but QuickBooks desktop 2021 and earlier are dependent on IE11 to run

A little dependency is unavoidable in any good relationship where cooperation and compromise are involved. The Last of the One-Time-Purchase QuickBooks Licenses… 2019 is End of Life

Tax time isn’t the only annual event businesses have to pay attention to. Each year, just like clockwork, Intuit sunsets another version of QuickBooks desktop software to move the market forward and focus on the newer versions. Technology advancements, feature additions and functional improvements are constantly being introduced so license holders are regularly asked to update and (annually) upgrade their software. When a new version of the software is released, Intuit ends support for the older versions. In this case, as QuickBooks 2022 becomes mainstream, QuickBooks 2019 goes out of support.

Intuit always notifies license holders in advance as services for older versions of QuickBooks Desktop are put on the schedule to be discontinued. For some, this notification comes via email or phone, but for many it is a notification provided right in the software. A popup or other message is displayed that notifies the user that their software needs to be upgraded to the newer version.

Service discontinuation will happen on the schedule provided by Intuit. The key date is May 31, 2022. After that date, access to any add-on services will end for those using QuickBooks Desktop 2019, for Windows platform. The discontinuation of services applies to all 2019 desktop editions of QuickBooks, including QuickBooks Pro, QuickBooks Premier, QuickBooks Accountant, and QuickBooks Enterprise Solutions.

For users of QuickBooks Point of Sale, the key date is August 10, 2022. After this date, QB POS v18 will no longer have access to add-on services

If you don’t use any add-on services in QuickBooks desktop 2019, then your product will likely still work for you. There won’t be any live support available, and none of the other Intuit services that work with QuickBooks desktop will work with your 2019 version, and you won’t receive any updates or patches for security or other fixes.

Losing security updates should be reason enough to upgrade your software, even if you don’t need the add-on services. It’s your financial data, so you should consider the value of having better security than your out-of-date software can provide.

When Intuit decides to discontinue services for QuickBooks Desktop 2019, what that means is that the software will no longer connect to services it once worked with. Services no longer available with QuickBooks desktop 2019 (after May 31, 2022) include

To upgrade your QuickBooks software, you will need to purchase a subscription to the new version.

Yes, that’s right…. A subscription. There is no longer any option to do an outright purchase of your QuickBooks software license. Rather, you will be purchasing an annual subscription to the software, which must be maintained in order to keep using the software. Under the 2019 license, you can still use the software even if the support lapses because the application will still run, just without any connected services or updates. But with the subscription license, the subscription must be active for the software to run. In short, keeping the license subscription current and the software updated becomes mandatory, not optional.

While Intuit sunsets the older versions of QuickBooks every year after a new version is released, these days they’re being a little more aggressive in trying to convert folks to QuickBooks Online. QBO does offer some neat features such as automatic bank account updates, but it isn’t quite what QuickBooks desktop users have come to expect from their beloved QB. The functionality of QBO is quite different from QB desktop, as is the data format. QuickBooks desktop “power users” will likely as not disapprove of how QBO handles things and will find that the functionality is limited in comparison.

QuickBooks Online may be a good alternative for Pro version users who don’t need much detailed functionality from their software… paying bills and invoicing customers is easily handled in QBO, but more advanced requirements still need desktop to get it done. Another sticky issue with QBO is where multiple company files are involved. With Online, each company is a separate “subscription”, where QuickBooks desktop sees it as just another company file. With QBO, you pay per-company, but not with QB desktop. For some businesses with many files or business entities to manage, this is a deal-breaker for using QBO.

As the business grows and as needs change and become more complex, it will be necessary to implement software solutions that can adapt and address the new requirements. If that’s QBO, great.
