Getting out of IT Jail

I have a friend in the accounting/technology industry that spends way too much time on his business in-house IT.  He’s always futzing around with servers and workstations, fixing corrupted data files or PCs that won’t launch applications, and setting up remote access so he can work at home (which he never actually does because he’s at the office fixing IT issues).  More often than not, when I try to get time to chat with the guy, his response is “I’ll have to call you later; I’m in IT jail”.  As a side note, my friend is Doug Sleeter, a recognized leader in the world of small business accounting and among QuickBooks accountants, consultants and advisors.

My friend works a lot with different solutions and technologies designed to make it easier and more effective to get accounting and business information collected, processed, stored, and reported.  He reviews tons of different solutions each year, and looks for those he believes can truly make a positive impact in the life of a business owner.  My friend also, as he puts it, “eats his own dog food”, meaning that he actually puts into place many of the solutions which he finds to be beneficial so that he can experience their benefit in his own business.  His proven experiences then translate to support for the solution in the market.  People need to know that a solution will actually do what it is supposed to do, and many wait for someone else (someone they trust) to go first so they can use the customer feedback to help them make a decision.

My friend clearly recognized the growing value of cloud solutions and how implementing cloud-based services to solve specific business problems might be a more effective and affordable way to address growing business needs than with traditional ERP models or installed software approaches.  Using different tools that work together (his term for this is “chunkify” 🙂 ), even very small businesses could now affordably address the various operational and financial information management needs which exist at some level in all businesses.  Following along with his previous commitment to use and not just talk about these things, he began the process of selection and implementation of various cloud-based applications, tools and integrations for his desktop QuickBooks software.

It was going great.  Application services subscribed to were working as expected, and all sorts of information was fairly seamlessly flowing to and from QuickBooks.  And then, it happened – his bookkeeper moved away and wasn’t able to work in the office where the accounting software and data were housed.  Take a deep breath. Okay, so back to the remote access thing, and more IT jail.

He worked diligently to create remote access for the now-remote bookkeeper, and remote desktop service worked OK, but it was “a pain to keep working, and it never could give the type of performance we were trying to give her”.  Go figure, the one piece of the puzzle left in the office was the one making everything else more difficult and costly.  He was in IT jail once again.

The final step was to get the QuickBooks software and company data out of the local network and in a safe and secure and fully-managed environment.  Particularly since QuickBooks is (in this case) the centerpiece of the business accounting system, it became essential to place it in an environment where it would be maintained, monitored, and protected by people who specialize in that sort of thing.  My friend, like most business owners, just didn’t have the time and resources to have the level of IT and management that an outsourced commercial service provider could offer.

Intuit even recognized that businesses needed a better way to run and manage their QuickBooks desktop software, so they created an accredited hosting program to allow service providers to offer application hosting and license management services to QuickBooks users.  My friend now uses one of these providers to host his QuickBooks and other desktop applications.  He still has all the integrations and features he had before, but isn’t required to spend time and productivity fixing hardware issues or software installation problems.  His software is installed, maintained, and actively supported by IT professionals who are focusing on nothing more than keeping his systems up and running.

In his own words, “the hosting move offloaded us from having to mess with providing access, and at the same time it improved performance and delegated the IT management”.

For a time my friend and his business went without a high level of IT management and support, but now he completely recognizes that he needs it and is finding it to be well worth the cost.   Now he’s got his own “get out of jail” card.

Two-thirds of Intuit’s QuickBooks customers were declined a loan due to poor FICO scores and other credit measurements. In the Loan Finder trial, a business could opt-in to allow banks to use QuickBooks data to evaluate if a prospect was a credit risk. As a result of this additional data, the banks provided several hundred new loans with an average of $10 million dollars.

Surprise! Consumer apps get IT approval in small businesses: GIGAOM.com

In a recent article on GigaOm, author Barb Darrow discusses the findings of a survey of small businesses in the US, UK, Canada, Australia and New Zealand, where it was found that the use of “consumer” information technology is being more widely accepted for use in small businesses, and that many of these selections are happening without the knowledge or participation of the IT department.

“Employees are driving business apps selection in many small and medium businesses, according to new research. A good percentage of productivity, social and collaborative apps now sanctioned by IT in SMBs were brought in by workers without IT knowledge.“

Reporting that small businesses are adopting “consumer” IT, and that it is OK with IT departments, isn’t a surprising finding.  Small businesses have begun leveraging mobility and cloud solutions to their benefit, being able to take advantage of powerful technologies that previously only enterprise IT departments could enjoy.

 “.. the line between personal and workplace technologies has become all but invisible. That poses real challenges to IT departments that have to deal with all sorts of technology coming in over the transom. But it also opens up opportunities for vendors that design easy-to-use consumer apps to enter the business realm as well.”

The cloud introduces new agility and capability for all businesses, not just small business. For IT departments in larger businesses, this is a big IT management issue. For smaller businesses, the IT manager is often the business owner or an occasionally contracted on-site technician.  When faced with IT needs in the business, many small business owners will at some level rely upon the solutions they also use in their personal lives – in many cases, there simply isn’t a budget for both.  The line between business and personal has always been “blurry” for the small business owner.

Managing The Purchasing Process: More than just expenses

When a business owner hears the term “expense management”, they immediately get a vision of traveling employees with piles of receipts and vouchers to be organized, accounted, and possibly reimbursed for.  The image is fleeting, gone out of mind with no lingering thought, because this business owner does not have personnel who travel frequently, and does not have to deal with volumes of expense reports from employees.  Expense management solutions aren’t anything this business owner is looking for.

Yet, what does happen every day is that equipment, materials, supplies, and services must be purchased to keep the business operation going.  Calls are made to vendors, price quotes are developed, and purchase requests are typed up in Excel spreadsheets and piled on the owner’s desk for approval.  The business owner rifles through the various requests, and brings in the bookkeeper to help work through the decision of which items to authorize based on current cash availability.  Because the availability of working capital changes frequently with billings being sent out and receipts being deposited daily, the owner and the bookkeeper spend much of their time together figuring out which purchases to make and when.  It is a continual and ongoing process, taking a lot of time and attention away from other important business matters.

Too often, thoughts of managing these efforts with more structure places the problem “in a box” and addresses only half of the issue – the purchase.  While managing materials requirements and predicting when parts or supplies will be needed is one side of the problem, factoring those purchasing plans in to the cash requirements of the business, and having a meaningful and effective way to monitor current cash, expected receipts and purchase requirements together is essential.  This ability requires that the payments management solution also address receivables in order to have the cash flow and availability information necessary.

Expense and purchase management processes generally involve three main steps: planning, tracking, and reporting.  As the process involves planning, it suggests a proactive rather than a reactive approach to cash management and purchasing activities.  By bringing together all of the critical data which describes “inflows and outflows”, the business owner has the information necessary to not only forecast (plan) cash requirements but to also understand the availability of working capital.  Knowing ahead of time that traditionally slow paying contracts aren’t factored into immediately available cash is important, and being able to make adjustments to purchase schedules based on availability of funds is essential.

Expense reporting may not be a big part of the business, but managing cash flow and purchasing goods and services is, even in the smallest of enterprises.  Make sure the business has the tools in place to help bring an additional level of intelligence to purchasing activities, and that those tools deliver the benefits of a structured (but not time-consuming) purchasing approvals and proactive cash flow management process.

For accounting and finance professionals, this is a highly valuable area of service you could be providing to your clients – helping to implement the tools and solutions which not only allow you to work in more depth with client businesses, but which deliver immediate visible and actionable benefit to the client.  This is just one of the ways accounting professionals can work closer with their clients, and the benefit is delivered each and every day (not just at tax time).

Accounting professionals are being pressured to deliver more value and intelligence to their business clients every day.  The pressure comes from a variety of areas, not the least of which is the fact that a lot of do-it-yourself tools are now available which lead business owners and managers to believe that they know what’s going on in the business.  Lots of charts, graphs, and dashboard presentations make the numbers more readable, but they don’t say whether or not the numbers are even right.  Even more important, they don’t deliver insight based on experience and understanding.  This is where the accounting professional’s value really comes from – providing insight based on good data and quality data analysis backed by experience and understanding of the business.

Knowing what makes a business valuable is important, but what many business owners don’t fully understand is how to best increase that value.  Generalized reports which summarize financial information, distilling it into a standard set of metrics, often don’t tell the business owner what they really need to know – how to go about increasing the overall value of their business, whether it is through improved profitability or through growth.

The business owner understands the operations, but not necessarily how operational activities actually impact value and profitability.  Helping owners know more about their enterprises requires that the accounting professional also know more, where gaining a deep understanding of operations and learning what business functions are addressed and how becomes the key to bridging the gap between operational knowledge and business valuation. This is where the accounting professional or CFO can really make a difference, and can help to apply their knowledge in building business value directly towards those areas which fundamentally impact it.

You Spent What?! Keeping Tabs on Travel Expenses

In the world of business, it sometimes becomes necessary to travel. Whether it’s sending an employee to your client’s business in the next town or across the globe to make a deal, travel incurs expenses. How do you track those? Usually by painstakingly collecting receipts and keeping a copy of any travel itinerary. That’s an awful lot of paper.

Think about it. You get a receipt every time you make any kind of transaction. Let’s say you stop for gas on the way. You get a receipt. Take your client out for lunch? Receipt. Fly across the country? Another receipt, and an itinerary. It almost becomes necessary to get a folio just for receipts, you get so many. As a matter of fact, many do. Folios, folders, organizers. I’ve seen them all. Not one of them makes compiling the expense report easier. It still requires sorting and entering the data by hand. Such a waste of time. Time better spent on what you really need done. Making money and growing your business. Getting a report on what was spent, where it was spent, and how much to bill or reimburse should be as easy as clicking a couple of buttons. It’s not, but it should be.

Look at it from the other side of things. Let’s say I’m an employee and you’re sending me to Nashville to attend a conference. I’m also supposed to have a “meet n’ greet” with some clients, just to ensure that they’re happy and content. I’m stressed because I have to remember to keep every piece of paper I get on this trip. Plane tickets, rental car, hotel, food for myself, food for the clients. Everything. Not only do I have to keep track of it all but I don’t get compensated until after I get back, and only if I manage to keep all of those receipts.

Making the process easier is the next logical step when it comes to tracking expenses. Finding a way to cut down on the time it takes to compile the report, cut down on the number of receipts kept, or even getting rid of the need to keep the receipts at all. Everything under the sun is online these days. Online and paperless. It’s just easier than keeping a pound of receipt paper in your carry-on. With all of the technology that is readily available on today’s market, shouldn’t it be easier than that? One click should be all it takes. Okay, maybe two. My point is that it shouldn’t be pulling teeth just to keep everything in line and under control.
