Migrating Your Processes and Knowledge to the Cloud

Adopting cloud platforms can bring great business benefit without forcing dramatic change.

Many business owners believe they must dramatically change their software and business processes just to embrace cloud working models. Too often they are left believing that any business use of cloud technologies requires changing software and systems over to subscription web-based solutions which enable the much-desired anytime/anywhere working model.  What too many businesses aren’t being told is that there are ways to move to cloud platforms without losing their investments in people, processes and business knowledge.

The benefits of a cloud computing model are many, with mobility and managed service being the most obvious.  Less evident are the potential cost savings, because the subscription approach to paying for IT services may, on the surface, look like an equivalent or even higher cost over time. 

What isn’t being considered is the potential to improve processes and increase productivity.  These benefits are often achieved simply due to a centralized management and access approach, and are not necessarily attributable to the adoption of new software tools.

The cloud is the right answer for deploying and managing IT for many businesses, and delivers more value than on-premises systems can for the same price.

Eliminating the on-premises server and network with a cloud server implementation should be considered first, before changing out the software and tools in use throughout the organization. Hosting the existing applications means users can access their regular desktop software via the cloud, allowing the organization to fully retain their investments in people, processes and knowledge, and to build on that foundation with centralized service and improved collaboration..

Businesses of all sizes and types are are finding that the cloud, hosted applications and remote access provide the answers to a variety of business IT problems.  Even more, those answers are being provided affordably, with a simplicity of setup and with higher levels of service than is usually provided for with localized IT.

Small businesses and enterprise organizations alike can experience many benefits with a cloud hosted and managed IT approach.  It doesn’t take a comprehensive application or process overhaul to begin improving internal IT operations for the business, and it makes no sense for a business to give up investments in training, process development, and people knowledge in exchange for a centrally managed and remotely accessible system. 

Rather, the smart business takes the steps to solve the real issues of IT management and mobility while allowing users to continue performing their tasks and doing business as usual – only better now because the platform is working for them.

Considering Cybersecurity as Cloud Work Expands

When the pandemic forced many business users to move to remote work, it also forced the network security “boundary” to expand greatly and with great speed. Companies quickly adapted their tools and work so that it could be done somewhat effectively even as the employee working environment changed.  But new security models to match with new working models have not as quickly been adopted.

Business cloud workloads grew, by some estimates, as much as 20% just in the first 6 months of 2020. Yet many of those businesses electing to bring cloud working models to their business also made of the mistake of not expanding their security as they expanded the cloud network. This leaves systems and information vulnerable. Phishing, ransomware, credential theft and web app attacks have increased, catching businesses in their vulnerable states.

“In April to June of 2020 alone, security incidents increased by 188%.”

Even more than on-premises systems, it was the external cloud-based data and applications that were under attack because so many companies expanded their use of cloud services without enhanced security as part of the plan. Any expansion to include the cloud as network also significantly increases security risks. One report found that 35% of businesses made their cloud storage openly accessible to the public, allowing anyone to access it via the internet.

Don’t let your critical information be exposed or put at risk. When you begin using a cloud service, make sure to also address security for the new working mode or it could lead to lost or leaked information or a system breach.

Windows Server 2012/R2 Not Aging Well, Loses Support for Microsoft 365 Apps

Lots of people loved (and continue to love and use) Windows Server 2012/R2. This Windows Server release introduced several new and improved features that made it a cornerstone of business and service provider networks worldwide. Notable improvements in virtualization with Hyper-V, along with improvements in storage, networking, remote access and server administration features, made 2012/R2 a necessary upgrade from the 2003 and 2008 versions still present in many networks.

Sadly, even though Release 2 (R2) for Server 2012 was largely a new OS due to its features and capabilities, it did not receive a new lifecycle end date and instead inherited the end dates for 2012 version. And an extended lifecycle end-date doesn’t guarantee extended usefulness or compatibility.

Windows Server 2012 began with mainstream support on October 30, 2012 and that mainstream support ended in January 2018, including for R2. Extended support for 2012/R2 goes through January 2023, but that is only if you are paying for Software Assurance for your licenses.

During this period where extended support may still be available for the OS, there is no guarantee that it will remain as a supported platform for your application software. An example of this is the Microsoft Office 365 Apps suite formerly known as ProPlus. The Office 365 apps, which include Outlook, Word, Excel, Powerpoint and more, are staples of business users worldwide. These applications are no longer supported on Windows Server 2012/R2.

Microsoft 365 Apps ended support on Windows Server 2012/R2 on January 14, 2020.

Innovative features and functionality continues to be released for the Microsoft 365 Apps and Microsoft needs to know that the platforms running the applications will work properly with those innovations. As the software is improved and new capabilities introduced, stability and performance issues can plague the install when it is running on older or unsupported operating systems.

Microsoft has pointed out that any Microsoft 365 Apps updated to version 2005 or later will result with functionality and stability problems because there are changes that are specifically not compatible with Windows 8 and Windows Server 2012.

The pace of change is increasing no matter what industry you are in. With technology adoption rates rising faster than ever in all sectors, business owners cannot rely upon outdated systems if their operations are to remain competitive. Application software as well as the operating system platforms it runs on must be regularly updated in order to provide the reliable performance and useful functionality demanded by today’s business users.

QuickBooks changes and enhancements for 2020: My 2 Favorite Fixes and Let’s Talk Cloud Hosting

Accounting professionals and small businesses worldwide use QuickBooks software to manage business finances. Launching Basic and Pro versions in 2000 and increasing market share from 74% in 2004 to boasting more than 94% in 2008, Intuit continues to successfully serve the needs of small and growing businesses.

Over the past few years, Intuit has focused quite a bit on SaaS and online services, promoting QuickBooks Online Edition, mobile payments and full service payroll as solutions that can meet specific business needs and which drive new customer adoption of the products. While customers may initially attach to QuickBooks because of one of these capabilities, it is the richer functionality found in Pro, Premier and Enterprise which often causes the business to run the desktop editions.

Intuit knows that the desktop editions remain hugely popular, which is why they continue to be updated and supported. And this is also why payments, payroll and other functions supported by the product are handled as integrated service rather than software; It’s a great way to make sure customers upgrade their QuickBooks software regularly, even when it sits on the desktop.

The changes in QuickBooks for 2020 aren’t amazing… it seems like they are more tweaks and adjustments than real feature releases. I’ll list a few of the changes below, but first I’d like to point out the 2 changes that I think might make a big difference.

These are my 2 favorite changes with QB 2020

1. QuickBooks Enterprise 2020:  Landed cost

How did you get along without this before? Manual calculation, that’s how. Landed cost capability gives visibility to actual, complete product costs because it adds freight, duties, insurance and whatever other expenses relate to the purchase. Allocate the costs to item bills and you now have a complete view and tracking of the real cost of bringing in the product.

2. It is Now Easier to Reset the Admin Password

Yay! No more 20 questions! The Admin password for a company file may now be reset without having to enter a bunch of information and answer a lot of questions to verify identity.  The process now asks that the user pick their email address from a drop down list of emails registered with the QuickBooks license. A token is emailed to the address to use in resetting the Admin password.  The key here is to make sure your QuickBooks registration information remains up to date so that an email you can get to is used for this process.

QuickBooks Enterprise Solutions 20.0

Here are the changes specific to QB Enterprise

  • Complete picking and packing operations as part of single workflow
  • Track product landed cost
  • Manage product vendors with primary and alternate vendor selections

Intuit continues to do a fine job of making QuickBooks desktop the most useful and easy-to-use solution for small business finance, and we make it run best in the cloud.

Where QBO (the online edition) might work for very small businesses and those with very limited requirements, the real work gets done in the desktop editions. My team helps make running the QuickBooks desktop editions easier and even more useful in the cloud.

A quality cloud hosting approach can deliver anytime/anywhere access, greater IT resiliency and faster disaster recovery, but only if done properly (note my favor for private tenant hosting rather than multi-tenant or shared hosting). The wrong platform introduces poor performance, limitations on applications and breaks in processes and workflows, and may even compromise security and complicate recovery when something does go wrong.

QuickBooks desktop solutions are the right fit for many small businesses, and these businesses demand mobility, security and flexibility in their IT systems. Providing this is our way of helping make QuickBooks desktop a little bit better.

Are You Prepared for SQL Server 2008 End of Support?

 

Everything gets old eventually, and now it is official for SQL Server 2008.

03-2012sean-phone-328-e1377042261105On July 9, 2019, support for SQL Server 2008 and 2008 R2 will end. That means the end of regular security updates and general support for the product. Are you ready?

It took more than 10 years for Microsoft to end support for our beloved SQL 2005 and version 2008 has enjoyed a similarly long reign. But it’s over and you need to get used to the idea. Even more, you need to get upgraded to a new version of SQL so your systems can still be patched, updated and supported. With all the nasty exploits out there, letting your software get out of date is more of a business risk than ever.

With cyberattacks becoming more sophisticated and frequent, running apps and data on unsupported versions can create significant security and compliance risks. The 2008 family of products was great for its time, but we highly recommend upgrading to the most current versions for better performance, efficiency, and regular security updates.

Now is a Good Time to Consider Azure

Microsoft is giving a present to businesses that want to migrate their workloads to Azure. For those customers that elect to take this as an opportunity to move to the Azure cloud, extended security updates will be available for free in Azure for 2008 and 2008 R2 versions of SQL Server and Windows Server to help secure workloads for three more years after the end of support deadline. Moving existing systems to the Azure cloud is a natural step in modernizing the business infrastructure and makes the next step of upgrading to managed database services and/or migrating to new Azure servers a lot easier.

Upgrading isn’t simply a matter of maintaining status quo, either.

Moving to new versions can be a foundation for new strategic capability and increasing overall business potential, powering new decision-making processes fueled by analytics and business intelligence.

The Microsoft Lifecycle Policy offers 10 years of support (5 years of regular support and another 5 years of extended support) for the 2008 and 2008 R2 versions of SQL Server and Windows Server. When the extended support period ends, there will be no patches or security updates, which always creates security risk.

If your business is going to remain competitive, you can’t rely on outdated systems.

Your business is tough enough to manage without having your systems work against you.  Software that prevents you from keeping up with demand, creates risk in compliance and security, and reduces operational performance is not what you need. Collecting, storing and rationalizing data takes power and speed, and securing your growing information warehouse requires vigilance in security and update management.

Use this opportunity to review your platforms and applications, and consider moving your on-premises or co-located systems to the cloud. The upcoming milestone is a great opportunity to transform applications and infrastructure to take advantage of cloud computing and the latest versions of SQL Server and Windows Server.

4 Rules of Thumb for Getting Business Benefit From EDI

The First Step in Transformation is to Stop Doing Things Twice

Double-entry is dumb. Entering data once introduces the possibility of making an error, and entering the data again only increases the chances for a mistake. Typing information into the computer also takes time and the more manual entry is done the greater the potential is for input errors which take even more time to find and correct. Manual entry of information may be required when starting with a paper-based process, but double-entry of information doesn’t make any business sense. In this age of computers, the internet and electronic commerce, reducing manual entry to increase performance and accuracy is more important than ever. Thankfully, manual data entry is being eliminated and EDI is the foundation that helps make it happen.

Robots are just automation you didn’t know you needed

Electronic Data Interchange (EDI) is the use of computer and telecommunication technology to move data between or within organizations. EDI uses strictly structured information that can be transferred from one program to another without human intervention. EDI is one of the most important subsets of e-commerce, being the technology that helps two parties exchange information around a commercial transaction. One of the fundamental first steps in business transformation is the automation of business processes, and this is the main goal of EDI.

EDI addresses and solves problems inherent in paper-based processes. For many, EDI is the basis for reengineering processes and giving manual workflows an automation overhaul.

Rule 1: Go paperless and reduce or eliminate paper-based processes

Delays in activity performance and access to information are often due to paper-based processes, where transportation, storage and retrieval of documents cost valuable time. Labor costs are also higher when paper-based processes reign, increasing overhead costs for document processing and handling. Non-EDI systems also tend to be more error-prone because information is keyed multiple times, and because documents are transported, stored and retrieved by humans.

Rule 2: Reduce operational costs by increasing the speed of business and decreasing processing times and errors

Cutting costs is a top benefit of implementing EDI in the business, centered on doing away with the use of paper while automating key business transactions, saving both time and money in the core process as well as in error correction and problem resolution. Increased productivity is an expected result of employing paperless solutions and technologies. By reducing paper-based processes and embracing electronic transaction processing, businesses can handle more operational activities with the same (or fewer) human resources.

Rule 3: Re-Structure workflows to improve activities that make customers happy

Using EDI in the business helps to structure information and workflows, increasing efficiency and process performance in a variety of areas.

EDI also improves performance because processing time can be reduced to seconds, enabling greater efficiency in services delivery and a level of responsiveness that makes customers happier. Because EDI permits access to a potentially vast amount of detailed transaction data, the information can now be used to automate other processes and stored for analysis.

Rule 4: Get better data and more insight

EDI solutions help to minimize errors in the data, creating a basis for better reporting and analysis. Mistakes in data entry or order taking can be significantly reduced (if not eliminated), and well-structured data removes the need for “interpretation” of the information. Replacing paper documents with electronic ones can also make it easier to keep track of the status of an item, which is why EDI solutions ensure traceability of transactions that paper-based tracking can’t readily provide. All this serves to help the business gain the insight necessary to respond more quickly to changing market conditions and customer demands.

Integrating EDI into the business processes is key to improving business performance in a wide variety of areas. Like moving from phone to fax orders, or from fax to online, EDI represents a big change in how transaction processing takes place. By enabling EDI transactions with current and new suppliers and channels, the business also enables more efficient, seamless communications between all participants in the supply chain. Removing the need to re-key data and reducing the need to rely on human manual processes, EDI systems connect orders and invoices and shipping and returns… and all the trading partners along the way.
