Easy deployment in the cloud: What about users and applications?

cloudpagingBusinesses are migrating their systems to the cloud, it’s true.  Organizations of every size and type are taking advantage of the cost savings and flexibility introduced with cloud deployments and hosting services.  Rather than focusing efforts on procuring, installing and maintaining servers and applications in-house, IT departments are moving workloads offsite to cloud providers and hosted platforms.  The tools are readily available to help these IT workers configure and light up VMs in hosted infrastructure, and certain platform licenses and other elements are made accessible to customers.  But there’s something missing in the toolsets provided by platform hosting companies – a certain something that ultimately determines how useful (or not) the hosting platform service is when IT is ready to deploy users and applications in the environment.

Conceptually, hosting services are supposed to provide a centralized management and administrative capability for an organization.  While this is true in the context that most of the system and resources are assembled inside the datacenter, proximity alone doesn’t make things easier to manage.  In fact, some virtualization and delivery models can exacerbate issues that IT at least had a known way of dealing with when it was in-house.

Consider that, even in hosted and virtualized infrastructure, everything that needed to be done to build the in-house network still has to be done – only now it involves the on-premises computers (sometimes with client software still requiring installation and management), the local LAN, the Internet, the datacenter facility and network, and computers and software in the datacenter.  Most of the complexity may reside in the datacenter with the hosted systems, but even that scenario isn’t necessarily plug-n-play.  IT must still bring up the servers, and then the fun begins.  Fun, in this case, means setting up policies and permissions, users, and applications.  The unfortunate thing is that there are few tools being made available which directly and specifically address this requirement for customers in hosted infrastructure.  Hosted customers are still burdened with the requirement to not only establish and manage their permissions and user accounts – they also have to still install, update and maintain application software in the environment.

Most IT teams recognize that installing an application once is way better than having to install it a bunch of times, so there is a tendency to lean towards hosting models where a single (or few) machines service desktop and application sessions for lots of users.  Reducing the number of actual application installations, this approach (such as with terminal services) can make software implementations go a bit easier than if the app had to be installed across a lot of machines.  On the other hand, there is a fine art to implementing some applications in terminal server environments, and not all apps behave well in the delivery model.  Many engineering hours have been spent trying to get user apps working on terminal servers – sometimes much more time than if the application were simply installed to multiple PCs.  On an ongoing basis, technicians fight with applications and broken functionality, wishing the entire time that they could bypass the terminal services issue and get back to working with individual machines and app installs.  At least they knew the apps would work.

Companies determining that a VDI or DaaS solution would more directly mirror the individualized PC approach quickly find that managing and maintain the working user environment, including the variety of applications and functionality demanded by entry-level and power users alike, is just as complicated and time-consuming as it was when they were managing individual user PCs.  And, lacking quality software distribution and lifecycle management tools in the platform, find that template-based VM imaging doesn’t go far enough in terms of easing the burdens of installing, updating and maintaining applications on a user machine, whether it’s the local PC or a managed VM.

The truth about many cloud solution offerings and hosting platforms is that they are often oriented towards the enterprise customer and IT department, expecting that the customer has the skills and capability required to do the right things in deploying the hosted solution for the company.  Leaving all of the time-consuming aspects of service management and delivery to the customer – the parts of the delivery which address the actual users, desktops and applications – simply shifts the location of work for IT, but not necessarily the nature of the work.   They’re still going to spend a bunch of time not just setting up groups and users and applications; they’re going to spend a bunch of time managing and maintaining them, just like they always have.

There should be smart solutions to these problems – tools which could be made available to customers having a desire to deploy their operations in hosted infrastructure and that deliver the automation and ease of management which enables IT to realize gains through process efficiencies at all levels of the deployment.  The heavy lifting isn’t buried in the building of a server.  The heavy lifting – the grunt detail work that nobody really wants to deal with – exists around groups, users and applications.  Get some truly useful automation tools in those areas, and hosting becomes even more viable and beneficial for value added resellers, IT departments, and their users.

There are many benefits included in the “value proposition” for cloud computing models, but there are some hidden gems in terms of how these outsourced IT models can specifically and directly address one of the biggest problems facing many smaller nonprofit organizations: they have to use old, outdated, and often just pretty crummy equipment. But now it’s OK, because even crummy old PCs can work just fine when the applications are hosted in the cloud.

picture-pcSmall nonprofit organizations often rely exclusively on donations to keep the business running.  Donations don’t always come in the form of dollars; sometimes donations include used computer equipment.  For many nonprofits, using donated equipment is the only option they have due to various budgeting constraints, and nonprofits need computers just as badly as any other business. Not only do these underfunded businesses have to try to operate with what most users would consider to be sub-par equipment, they frequently operate their systems and networks without the aid of skilled or experienced technicians.  For a small nonprofit organization, keeping up with business is tough when the computers and software aren’t able to fully meet the need.

To complicate things even more, many people working in smaller nonprofit organizations are mobile workers – functioning either as part-time participants or users who simply need to work from a variety of possible locations.  And they almost always have to use their own mobile devices.  Supporting a remote or mobile workforce is particularly challenging when even the most basic of computing requirements are barely met, so addressing the variables of everyone having their own mobile devices and remote computers is frightful at best.

With the introduction of cloud computing, affordable broadband access, and value-priced application hosting services, small nonprofit organizations finally have a workable answer.  Working with an application hosting provider, the business can move applications and data to outsourced infrastructure, where the solution is effectively delivered back in the form of a subscription service.

Accessing applications and data on central servers, and using those applications from a “virtual” or hosted desktop, can allow these small businesses to use current versions of business applications without having to purchase the powerful desktop or portable computers necessary to run them.  The applications run from the host’s servers, reducing the local PC’s involvement to handling the display, keyboard and mouse inputs, and printer outputs.  Even older computers which would be incapable of running current versions of applications like Microsoft Office or QuickBooks are generally able to access and run those applications from the cloud.

Predicting costs of operations is essential for any business but is crucial for the nonprofit.  Budgeting around a limited financial resource, small nonprofits are hard hit when unplanned failures in computer systems occur.  In many cases, there simply isn’t room in the budget to recover from these events, and productivity and performance suffers because of it.

Approaching IT services from an outsourced perspective, these small businesses can build a significant level of predictability into their business technology costs – and get higher levels of fault tolerance and disaster recovery capability along with it.  The hosting service is responsible for maintaining the operating environment, securing the systems, backing up the data, and keeping things running.  The costs associated with server hardware failures, and even regular server and system maintenance, are covered in the subscription service.  This means that unexpected break/fix, update and maintenance costs are no longer of concern.

Every small business, not just the nonprofit, should explore the options available to them with cloud and application hosting services.  Performance within any organization depends on the systems and tools available to get work done.  Owning the problem of managing and maintaining the information technology platforms and systems makes little sense these days; better to outsource the problems to a professional service provider.  Not only can this type of service introduce predictable costs for business IT services, it makes working with crummy old donated equipment a workable situation.

Servicing Fundamentals: Are Vertical Software Products Becoming Obsolete?

As mobility and the Internet continue to drive changes in how people interact with technology and each other, businesses are finding that the compelling arguments presented by many cloud service providers are tough to ignore.  Anytime/anywhere/anymode access to business applications and data, focusing on core business issues and outsourcing non-core processes, streamlining and connecting processes to create efficiency and predictability in operations – these are the benefits which “connected” and cloud technology models are delivering.  Cost efficiencies in supporting business operations are also being experienced, as the outsource IT solution often provides fault tolerance, scalability and performance at cost and service levels difficult to achieve with in-house systems and personnel.  The scale economies of the cloud cannot be argued with, and it is this cost-efficient and effective provisioning of fundamental business services to users that is increasingly pressuring vertical software makers to either address the market with more fundamentally useful tools incorporated into their products or risk losing users to generalized and commonly used solutions.

Consider that many accounting solutions today have introduced the ability to connect document files to transactions.  It makes sense, and provides a basic capability for accounting/bookkeeping which is necessary.  On the other hand, what happens to the rest of the documents used in the business – the ones that aren’t associated with a financial transaction?  And, if there isn’t mobile access to the accounting system, how are those attached documents made available to remote users and mobile devices? Another thing to think about is the fact that users now have the ability to interact with various files and applications natively on mobile devices, as opposed to having specialized applications to access limited data sets.  File sharing applications and productivity tools are widely used by these mobile users, as they provide the flexibility to seamlessly access files regardless of device or location.  This fundamental benefit of simple and affordable information access, storage and sharing is proving the value of a generalized approach to enabling users and helps to explain why the operating and file systems were the previous “killer apps” in computing technology.  The question for vertical software developers now is whether or not they can effectively incorporate these popular services into their solution, or if the solution must limit its focus on addressing only the truly unique elements of the business rather than the general or fundamental ones.

More generally, it should cause us to question the future of legal market specific software. I understand the need for customized software; for example, I am currently involved with developing and deploying legal project management software (Cael LPM™ by Elevate Services). But the market – both customers and vendors – must balance the need to meet legal specific requirements with economics and scale.

Box and other cloud providers can potentially sell millions of seats to thousands of organizations. Contrast that enormous reach, which spreads development cost over so many users, with legal market scale. The large law firm market has no more than 400 organizations and 500,000 seats. The development and service cost per user is much higher. Nonetheless, many companies have prospered creating highly customized software for the legal market. In the age of cloud and economies of scale, however, will those economics still be so favorable?

There will always be a place for vertical and industry-specific solutions of certain types, but there is an increasingly large population of businesses which have adopted generalized solutions to address fundamental business requirements, and users (and solution providers) are recognizing that these essential solutions are meeting the majority of the business requirement without specialization (and additional cost) required.

or – That was then, but this is now…

It constantly amazes me, seeing the number of conversations, forums, talkbacks, emails, etc. flurrying about the Internet that are focused on finding the way to “win” against Microsoft and Intuit – both companies, in certain circles, being referred to as “big brother”. Well, the 800lb gorillas, anyway.

There are the Linux community members, very appropriately using TCO (total cost of ownership) and security messages to get the attention of the market… you’ve got the Mac devotees who believe that computers can and should have good fashion sense… and then there are the Windows users who use it, but complain nonetheless.

With Intuit, you have a clear market-share leader in SMB accounting. As for the other market segments – it’s anybody’s guess who wins there. It’s arguable.

But what do these two companies have in common? In a word – success.

Let’s face it. Without them, there wouldn’t be a world of computer users representing a potential customer base for new products. Walk with me – let’s talk.

Computers were once quite expensive, unintuitive, and basically unavailable for most businesses. Then PCs emerged, Microsoft hit the market – and Windows opened across the world. (Yes, I realize the timeline here is seriously compressed, and DOS lived for a long time and we liked it).  First, businesses broadly became computer users. Then consumers became computer users. Then everyone became a computer user.   Granted, the guy at home playing “Flight Simulator” was a driving force in getting the mouse and better graphics into mainstream computing. But let’s remember that accounting and finance was among the first primary applications of general computing technology (the BETTER adding machine).

Changes in the accounting industry were also occurring at this point. Professional accounting practices began to move away from business bookkeeping, being a low-margin and labor intensive task. Intuit hit the market with QuickBooks, marketing based on the concept that “if you can write a check, you can do your own books”. While this was in direct opposition to the professional accountants’ belief that businesses need professional assistance with their accounting, it solved the dilemma of doing the books directly. So, many accounting practices at this point actually became focused on selling and supporting accounting software – looking at the technology as both a means to avoid direct bookkeeping as well as introducing additional revenue-earning services for the practice.

Both Microsoft and Intuit recognized a need in the market, and filled those needs quite nicely. They earned their market share largely based on useability and the concept of empowerment. This is what it took to build the size of market we see today. And let’s face it. They did it very well.

Today’s computer user is more savvy – more aware of the options and choices. But choice often seems like complexity. With Microsoft and Intuit being viewed by many as the defacto standards for small businesses, the choice seemed like it was already made and therefore the complexity of making the right purchasing decision was removed. This is not as true today as it once was.

There are other options available. Will they gain the same levels of adoption that their predecessors did? Doubt it. The concept of “one size fits all” isn’t true any more. People want tools that are specific to their requirements. Businesses want their computing platform and applications to do more for them than simply maintain status quo.

But we must always remember how we got here. Kudos to the big guys who built the market for the rest of us. We should revere these companies, and acknowledge the great thing they did – they created potential customers for all of us. Lots of ’em.
