There is a lot of discussion today about how our children are growing up in a world where high technology is simply part of life and lifestyle.  I even read an article about how people are evolving because of the availability of information; evolving to the point where we no longer store and retrieve information, but store information on how to get information.  The article cited an example of someone who couldn’t recall the name of an actress in a movie they had seen, so the immediate response was to search for the answer on Google.  In the past, people relied upon memory and found various ways to mentally associate and store information so it was able to be recalled.  Now, there’s an app for that.

Are we losing our ability to effectively store and recall information?  Are we forgetting how to do things before we had technology to help us?  It might even make one wonder about how technology-dependent society has become. Consider the ruins of past civilizations where seemingly impossible structures are found. These structures cause questions about the technology available at the time as we wonder how they came to be.  The knowledge was there at some point but is now lost to time.

Few businesses use just one solution to get all their work done.  In most cases, the business must at least communicate, produce information and account for financial activities – and each of these functions has a software product or service associated with delivering the required capability.  While every business uses technology at some level, some businesses have more success than others in developing streamlined and efficient processes guiding the various tasks and activities performed throughout the day.  Sometimes the problem stems from a lack of understanding of the importance of process automation, and sometimes it’s the software.

The success (or lack thereof) in streamlining a business process is often enabled by the tools supporting it, yet the truth of software and systems is that not everything  is easily integrated and not all business workflows actually “flow” smoothly.  In many cases it is left to the human user to connect the processes and keep the work flowing, creating the opportunity for missed deadlines, duplicated or erroneous data, and a greater dependency on individual worker knowledge than is good for the business.

The better alternative may be the adoption of workflow and automation tools to assist with bridging and scheduling of repetitive tasks, building the knowledgebase of process and task flow supporting business sustainability efforts and easing the burdens of training new employees.  Process automation helps to improve productivity, it’s just that simple.

If the time is taken to really consider the variety and numbers of repetitive tasks employees perform throughout the day, the cost in time, lost productivity and data errors or omissions would likely add up to far more than initially expected.  People tend to adapt to using the tools they are provided, and will find ways to get things done (whether it’s the most effective way or not).   The end does not always justify the means, and many businesses ultimately find that it is here – where individual worker initiative and unguided action are most prevalent – that the operation fails to accomplish stated goals.

In order to create a sustainable operation with consistently high levels of production and performance, the business must establish a complete framework for process automation and support.  Where existing application and software functionality is not able to meet the requirement, the business should implement specialized tools to bridge the gap and embed the process knowledge in the system.

Scheduled reporting, customer and product data synchronization, import/export routines, data maintenance routines – these are among the tasks and processes which represent the regularly-performed work that may be sucking the user productivity and performance out of the business.  It’s a matter of degrees of success, and productivity improvements introduced through comprehensive process and task automation can make the difference between a little success and a lot.

For as long as there has been high technology use in business, there has been a struggle between the enterprise CFO and CIO for the power to make IT purchase decisions.   It isn’t rocket science… the reasons for the challenge are fairly straightforward.  The CFO wants to know what the expected return on the investment will be.  The CIO, on the other hand, recognizes that there is rarely a straight line to be drawn between IT expenditures and near-term positive business outcomes.  Sometimes it takes a while to fully realize the benefits of an IT project… and sometimes it’s necessary to spend the money just to maintain status quo.

While there may be indicators that the CFO’s influence in the enterprise is extending into areas where the CIO traditionally ruled (due – at least in part – to SaaS and the Cloud) there are also indicators that the role of the CIO is evolving rather than losing relevance.

A survey performed in 2011 by Gartner and Financial Executives International revealed a number of interesting results which indicated that the balance of IT procurement power was shifting within the enterprise.  344 senior financial executives were surveyed, and they revealed that:

  • in 45% of organizations, the CFO makes or leads IT investment strategy
  • about 75% of surveyed CFOs said they have little confidence in their own IT departments

A CFO.com article on the subject also mentioned a KPMG study from April 2011, in which it was reported that “73% of CFOs identified IT as the greatest risk to finance meeting its objectives”.

With the emergence of “cloud” computing solutions and the plethora of application and service options now available to businesses, some businesses have concluded that “the CFO is better equipped for the cloud world”.  The belief is that the CFO is more attuned to the processes of vendor management and contract term and condition negotiations, which are primary areas of focus when looking to obtain outsourced IT and application services.  The process of comparing pricing and service level agreements is more of a business process than a technology process, placing it squarely in the realm of the CFO.

The real issue here isn’t a struggle for power and influence; it’s a change in business priorities fueled by changes in technology and service models.  IT and the role of the CIO must focus on innovation and improvement of processes and profitability through efficiencies gained with technology, not on defragging hard drives and running software updates.  Brocade.com discusses this evolution of roles and focus with enterprise CIOs and CFOs in the release entitled The CIO Is Dead. Who understands better than the internal IT department the time-consuming and frustrating nature of maintaining user environments and applications?  Who in the organization has the technical understanding, coupled with a direct business understanding, sufficient to explore new ways of approaching various process or workflow problems? I think most business IT managers would agree that addressing issues that have a potential to radically improve the way a business operates is much more challenging and interesting than selecting the right make and model of server.

Joanie Mann Bunny FeetFew problems in business are truly solved simply by throwing more money and resources at them.  Certainly, having the people, tools and supplies to get the work done well is a business requirement, and many organizations take a “building out” approach to addressing growing workloads and customer demand.  On the other hand, there are business owners who recognize that things can always be accomplished better and more efficiently, and that improvements in these areas can make the difference between ending up with an overburdened organization with more mass than agility, or a lean organization with the ability to sustain itself while continuously adjusting to meet changing internal and external challenges.

It is said that the only constant is change, and businesses must find a way to effectively and cost-efficiently meet changing demands and conditions in order to survive.  What frustrates many business owners is that change is generally disruptive to the business, representing a significant challenge when it comes to the re-development of internal processes and procedures.   At issue is the understanding that proven, structured and repeatable processes help to improve efficiency, yet changing conditions often require changes to these processes.  In many cases, businesses find that the requirement to structure and document activities is work that must be re-done in the event of broad changes.  Too often, the work falls by the wayside because the minute it is completed, some change comes along and renders it obsolete.  It is somewhat like the child who questions making their bed each day, as they’re just going to sleep in it again and make it messy.

There may be a solution, and a lesson to be learned, in the “kaizen” approach to change and improvement.  Wikipedia’s entry on Kaizen identifies the meaning of the Japanese-Kanji word as simply “good change”.  Similar to the English word “improvement”, kaizen does not refer specifically to any single or ongoing change.  Rather, it has come to describe an approach to business which recognizes the potential for improvement – improvement in work product, work conditions, worker satisfaction, and worker performance – at all levels throughout the enterprise.  Further, kaizen does not describe change as being broad-ranging or particularly intrusive.  Beneficial (good) change may come at any level and may be identified by almost any source.

Kaizen is a daily process, the purpose of which goes beyond simple productivity improvement. It is also a process that, when done correctly, humanizes the workplace, eliminates overly hard work (“muri”), and teaches people how to perform experiments on their work using the scientific method and how to learn to spot and eliminate waste in business processes. http://en.wikipedia.org/wiki/Kaizen

The ultimate business goals are, of course, improved productivity, product quality and profitability.  A “Kaizen” approach to business recognizes that these goals are often met through gaining the participation of the entire organization.  Whether approached as individual effort, small or large group, or via suggestion system, the purpose is to nurture the company’s human resource and help focus it towards making improvements in work environment and activities which lead to improved productivity.  After all, the most valuable asset a business has is its people.  It is logical to apply this individual and collective intelligence and source of business knowledge towards making the company better – and a better place to work.

In an article published on CIO.com, author Kevin Fogarty describes how moving to a cloud IT approach proved to be a highly beneficial and strategic decision for an on-site diesel fuel distributor.  The focus of the article was on how existing software and processes were enabled by centralizing them in a cloud hosting environment, and not by replacing them with new subscription-based applications.

For many businesses, this is the secret that nobody’s talking about: you can have the benefits of “the cloud” without having to radically change everything you have and everything you do.  Retention of knowledge assets is critical to business continuity, and moving existing systems and process to platforms where they can be leveraged to greater business advantage is a way to do that.  With centralization of systems and services, information can be processed far more efficiently than before, eliminating delays and improving cash flows dramatically.  Time is money, and the cloud helps businesses spend less of both.

“A lot of the invoices have to go out every day by certain times, so third-party accounting companies can do their thing for the fleet owners.” The setup sounds like a classic for any overhyped business-process-automation system, but Daniel Abrams and other Diesel Direct managers weren’t interested in managing their business using sophisticated business systems that require more motivation, money and technical staff than Abrams was willing to use or pay for.”

The initial benefit is being able to use the products already in place, just from a more secure and redundant location, but when you begin to consider the positive ramifications of reducing the time between delivery and invoicing, billing and payment receipt, or customer demand and product supply, you rapidly realize that the cloud means much more to the business than just another way to run software.

“Those changes save Diesel Direct both money and time. Rather than running reports and invoices all night Tuesdays, for example, the additional capacity lets the company run those resource-intensive processes during the day rather than overnight. That gets critical work done faster and more accurately than a process left to complete itself unattended.”

In short, the cloud makes time travel possible, because the result is available almost immediately upon completion of the task.  It’s kind of like getting your expense check as you walk off the plane in your home town, because you reported all your expenses in real time as they were incurred (snap a picture of the receipt at the bar, and like that).

Yet most business owners and IT managers for small and mid-sized businesses are being told that the cloud is best applied when innovation is required, and should be reserved for NEW things, and not thought of as a way to improve the status quo with existing or legacy architecture.

“It’s not unusual for mid-sized companies to come to depend on cloud services, according to James Staten, vice president and principal analyst for Forrester’s Infrastructure and Operations practice.

It is unusual for them to be more concerned with infrastructure than with applications, he says.”

With affordable and secure application hosting services being widely available for small and medium businesses, owners and managers no longer have to look to new solutions just to enable mobility, remote access, and a fundamentally stronger and better-managed system.  Legacy applications can be hosted and delivered, extending their useful life as well as the value of the development and intellectual property, and giving customers capabilities not readily available with local implementations.

Abrams, worried about storms taking out his business as well as the power, didn’t know what technical solution he wanted until Callow “described for him what an enterprise infrastructure looked like,” Callow says.

“Enterprises might have the luxury of making strategic decisions about cloud or other technology,” Golden says. “In mid-sized companies things are very tactical. No cloud evangelist is going around the refueling industry saying ‘there are ways to solve this problem.’ “Companies make tactical decisions to solve their own problems and, five or 10 years later, we’ll all wake up and realize we’ve changed the way we do everything,” Golden says.”
