In order for regulation and legislation to work in favor of small businesses, it becomes essential that accurate and complete information be available for analysis. Too often there are details not recognized in the information used by various agencies to help guide policy and action, and particularly in the world of privately held small business, the quality of data is often in question. This is where structured accounting software and the public accountant come in to play, and where a difference can be made not only with the individual client, but at a higher level by facilitating more accurate data production to support various research initiatives, such as those sponsored through the SBA and the Fed.

Overall, these research studies highlight two things: the important role that financial institutions play in lending to small business owners, and the value of quality data sets in ascertaining financing issues faced by small businesses and their owners.

Hosted QuickBooks Need Drives Hosted QuickBooks Approach: QuickBooks Desktop Editions in the Cloud

Intuit QuickBooks essentially “owns” the accounting/bookkeeping software market in the US, having an enormous share of distribution and millions of users.  Even with the emergence of new web-based and SaaS solutions designed to address the needs of small business bookkeeping, the visibility and momentum of the QuickBooks brand has kept it in the lead position and users continue to adopt the QuickBooks desktop and online editions in record numbers.  What may be a surprise to folks who believe “the desktop is dead” is the reality that quite a lot of the adoption and usage continues to be centered on the QuickBooks desktop edition products rather than the purely Online, SaaS product, and this is at least in some part supported by the hosted QuickBooks service model.

The desktop is dead. Long live the desktop!

Software-as-a-Service and “the cloud” have become the focus of the entire information technology industry, and this new paradigm of computing continues to evolve and reveal potential at every level.  What’s interesting is that the paradigm – which involves mobility, anytime/anywhere access, managed service delivered as a utility subscription, and more –  is bringing new life to what many have come to refer to as “legacy” applications (like QuickBooks desktop editions).  While many technologists would have us believe that the traditional desktop is dead, the reality is that the traditional part of it is all that may be dying… the desktop and what it offers and represents isn’t dead at all.  In fact, it’s very much alive and well and continuing to do what it was intended to do, perhaps a bit better, due largely to advancements in desktop and application virtualization and other discoveries.

Several years ago the Application Service Provider model established itself, positioned to provide hosting of business applications as a subscription service (“several” is somewhat of an understatement; the first real ASPs emerged around 2000-ish).  Using Windows Terminal Services and other tools, these early providers recognized the benefits of hosted and managed desktops, and further recognized that the value of the service existed largely with the applications and not simply the outsourced desktop.  Back then, there was an awful lot of talk about how the “desktop is dead”, because delivered applications would become the norm.  Then the dotcoms busted and a lot of ASPs went out of business, leaving a rather poor taste in the mouths of consumers and independent software vendors (ISVs) alike.

As web-based, SaaS and “cloud” solutions began to emerge and prove their viability, business users returned to the web in search of solutions to mobility and secure remote access to business applications and data.  While a great deal of success has been realized by many of these SaaS solution providers, there has remained a significant need and desire for desktop applications, desktop presentation, and desktop functionality.  The adoption by the market of SaaS and cloud services eased the adoption of hosted application services, as well, and now there are a wide variety of providers offering an equally wide variety of hosted and virtualized desktop and application services (application services like hosted QuickBooks, for example).

The popularity of the QuickBooks desktop products, coupled with new capability offered through advancements in hosting and application delivery solutions, directly address the desire of the market to eliminate complexity and reduce cost of IT operations.   Hosting is somewhat of an “equalizer” between QuickBooks desktop and QuickBooks Online, allowing the QuickBooks desktop users to have the same managed subscription service as Online Edition users, but with the rich features and full functionality present in the desktop editions.  Businesses wanting to run QuickBooks in the Cloud are not forced to transition to the product which may not fully meet their needs, or which is simply unfamiliar to them – they can continue to utilize their trusted QuickBooks desktop editions, only in a hosted/delivered environment.

Here’s the catch:  It’s a good idea to only work with an Intuit-authorized Commercial Host for QuickBooks, because there is no other lawful way to obtain QuickBooks hosting services from a service or solution provider.  No, it is not lawful to provide QuickBooks hosting services unless the hosting provider/service is actually authorized by Intuit to do so, and anybody using QuickBooks software has already agreed that they will not utilize the software with a hosting provider or similar entity without specific authorization.  The hosting provider risks being targeted for unauthorized software distribution, and the customer risks losing their right to the software and services by violating the EULA terms.  Even if the software doesn’t cost a lot, businesses will recognize that their business data has value, and keeping their software in a usable and properly licensed state is necessary to preserve the value of that data.

The End User License Agreement for QuickBooks products – an agreement between Intuit and the consumer – spells it out in plain language and describes specifically how the QuickBooks product is NOT eligible to be hosted, or provided by a hosting service. Note that this includes situations where the hosting company is providing the actual QuickBooks software, and in situations where a business already has their QuickBooks software and provides it to a commercial hosting company to have it installed and managed and provided to users.  In short – QuickBooks is not supposed to be installed and managed by a 3rd party hosting provider who is not authorized by Intuit as a commercial host for QuickBooks regardless of whether or not the customer provided the license.

Further, by accepting the EULA in order to use the QuickBooks product, users accept the fact that Intuit has the full right to terminate that license in the event that terms of use are violated.  Remember that these license agreements provide USE RIGHTS, not ownership, of the product.  You have to use the solution under the terms and conditions of the license, or you lose your rights to the product, support, or any other benefits included.  http://support.quickbooks.intuit.com/support/articles/INF20630

Why Businesses Use QuickBooks Hosting Services

The reasons why businesses elect to have their QuickBooks solutions hosted come in many forms, which explains why there are a variety of options for getting hosted QuickBooks service.

For users of the QuickBooks Enterprise products, managed IT service may be the primary goal in adopting a cloud hosting model.  Hosted and managed IT services, including hosted desktops and managed applications, allows the business to benefit from predictability in IT cost and to transition from a regularly scheduled capital-intensive upgrade cycle to a consistent and budgetable operational expense.

Users of QuickBooks Pro and Premier, on the other hand, are more likely to see mobility, remote access, and real time collaboration as the primary benefits of a hosted model.  While the small business owner will frequently argue about the true cost of IT management (which is pretty arguable when the totality of their infrastructure consists of a standalone PC), it is the access to the application and data at any time and from anywhere that gets this single user online – generally with a smart phone or tablet computer or some such mobile device accompanying the requirement.

In many cases, there are other drivers in the business moving the organization along the path towards “cloud enablement” of their solutions, and QuickBooks is simply one of the products to contend with.  Hosted QuickBooks may not be THE REASON for going to an online working model, but it is one of the core components which can cause the project to either see success or fail miserably.

I have seen situations where an entire organization’s computing infrastructure was re-deployed as SaaS service, but the one critical thing they forgot was the controller’s requirement for QuickBooks Pro.  Months of time and many dollars were invested in moving the rest of the company to online application service, only to find that they all returned to local application use because of the requirement to work collaboratively with the controller and with reports and data produced through QuickBooks.  On the other hand, I’ve also seen where the accounting department was the only group moved to the hosted environment (in this case, the provider was focusing on QB and not on the rest of the business requirement), and this group also returned quickly to local operation in order to continue collaboration with internal team members and to benefit from the integration of applications (e.g., QuickBooks working with MS Office, etc.).  One size certainly does not fit all, and any purchaser of a hosted QuickBooks solution should keep in mind the entire business requirement in case QuickBooks is only a piece of the puzzle (albeit an essential piece).

Hosted QuickBooks may come as a published or managed application, as a desktop application on a remote or virtual desktop delivery, or as an application“delivered” to the user’s PC.  In any case, whether QuickBooks is viewed as a point solution – delivered alone as a single application – or whether it is part of a larger virtualized desktop or application deployment, it remains one of those products that satisfies a fundamental need in small businesses, and now it’s available in the cloud.

What’s Motivating Small Businesses to Move to the Cloud?

When information technology professionals tell their small business clients about cloud computing, it often sounds even more complicated, risky and expensive than in-house networks and business Internet access once did.  Business owners are faced with discussions about hosted or SaaS or hybrid and ask what will I do when the Internet goes out? and how secure is it? and will it work with my iPad?… and often get one of two responses from their local IT guy:

  1. The cloud is just a way for software companies to make more money.  I can keep your IT running better in your office and save you a lot.
  2. If you move to the cloud you have to do a lot to make sure it is secure, and you won’t be able to run all your applications (but we’ll back up your data to the cloud so it’s safe).

Now, you can’t really blame the local IT guy for being a little bit wary of some cloud solution offerings because these local IT guys really are (in many cases) trying to operate with the best interest of their client in mind.  It’s just unfortunate that sometimes a lack of information causes them to revert to their comfort zone, which is selling servers and performing on-site installation and break-fix work.   What information are these folks lacking?  An understanding of the various options and capabilities available with hosting services and cloud solutions, and how the IT provider can continue to be the advocate and IT manager for their clients even as those clients move their primary information technology to the cloud.

For many years business owners have relied upon their trusted local IT professional to help them find solutions to various business problems.  Answering questions and helping procure and implement computers and networked systems, software applications, backup solutions and more, the IT professional serving a small business customer base has necessarily become the one-stop-shop for everything related to computers.  Smaller IT service companies often rely upon regular sales of server equipment and network installations to pay their bills.  It’s no wonder that these companies have a hard time accepting hosted solution models, as they see their revenue potentials dwindling as fewer servers and networks are sold to small businesses.

The interesting trend being viewed these days is that more business owners are looking beyond their IT professional to find solutions to the problems they deem as high priority for business technology: mobility and remote access.  It is not necessarily that the self-service technology model makes more sense for small businesses (businesses can still benefit tremendously by getting training and implementation support from their local IT guy), but simple and affordable cloud solutions have addressed many of the small business IT challenges that were previously big revenue streams for local IT service providers.  Savvy business owners will find solutions that work for them, and will look beyond their immediate advisors if those advisors aren’t providing the right answers.

When a small business owner talks about mobility and is looking for answers to the remote access question, they are not thinking about GoToMyPC or other remote control technologies and simply connecting to an office PC.  Small business owners today are talking about central access to information at any time from any place and with whatever computing device they happen to have available at the time.  For a small business owner, the benefit of the cloud is a largely emotional benefit – being able to stay in touch with the business at all times.  The real benefits may be improved security, simplified management of information resources and pay-as-you-go pricing for business applications, but these are often value statements which fall on deaf ears just as the cost/benefits of upgrading the server every 2 years did.

It is tempting to focus on logic and reason, discussing the tangible benefits of any business information technology model or approach rather than how it makes us “feel”.  Productivity metrics, best practices in security, total cost of ownership… these are all the right areas to pay attention to when selecting any technology solution for a business.  But really, when it comes to selecting technology for small businesses, the business owner is in the driver’s seat, and that owner wants one thing: to see what’s going on all the time.

Small Businesses and Performance Data – Analytics are more important than ever

Creating and keeping a competitive edge is critical to building a successful business.  Developing a plan, monitoring the plan to make sure the business remains on target, and setting goals for growth and profitability are foundations of business success.  But great strategy and detailed planning cannot ensure success because the economy and business environments are unpredictable; no amount of planning is a guarantee that bad things won’t happen and the business won’t experience challenges.  On the other hand, regularly monitoring small business performance data can reveal trends and indications that things are not going as expected, and provide a basis for making the decisions necessary to get the business back on track and regain the competitive edge.

The volume of information flowing in to businesses is already high, and is increasing steadily.  With all the data collection applications and tools available, and as the business seeks to gain more information and intelligence from more sources, the volume of information gathered by businesses has increased at astounding rates.  Technology has adapted to this need, allowing businesses to gather than store vast amounts of data.  To be of value, however, the data must be analyzed to find the answers to questions posed.  What technology is only now beginning to address is the complex and disparate nature of the collected data.  Coming from varying sources and in equally varying formats, data must be “normalized” and related for it to make much sense.

More Users

  1. More business decision makers in more job roles and functions are getting involved
    1. More people approaching the problem with their own “brand” of analysis

In a very small business, decisions are generally made by the owner.  This is most often due to the fact that the owner is the person who not only knows what’s going on in the business, but is generally the one doing a lot of the work.  As businesses grow and bring in personnel to manage various functions, these managers become decision-makers.  Decisions are made in businesses at all levels, and as management layers are compressed, those “closer to the action” are being handed more responsibility for the decisions impacting their areas.   Without a comprehensive and company-wide framework for data analysis and reporting, these individuals and workgroups find ways to capture and analyze the data they feel is pertinent to their requirement and within their own realm.

Less Time

It may be that, in some businesses and markets, certain decisions don’t have to be made with any great speed.  Businesses or markets of this type are tough to find these days because the Internet, information technology and connected systems have all but eliminated the effects of time and distance. Just about everything in business today moves at a rapid pace, and that means that business decisions are often demanded on-the-spot, providing little time for detailed consideration and working through the problem.   Without the tools and data providing meaningful real-time visibility into business performance, decision-makers may be able to act fast but not wisely, and are most frequently guided by their “gut feel” as to what the right move is.

Business decision makers are now recognizing the need to know more about the business and how it is operating and competing in order to effectively address the choices and decisions faced each day.   The cause for this recognition may be due to variable elements, but the conclusion reached was the same: good business decisions require business analytics to support them.

Not surprising was the report finding – that the majority of small business owners felt pressured to adopt a business analytics solution primarily due to the fact that “critical business decisions rely too much on “gut feel”.  Surprise! Other drivers listed were lack of visibility into operational metrics, the growing number of people in the business who want analytical capability, the business’s inability to identify and act upon business opportunities, and having less time to make decisions.

Steps to Get There

As with any business project, there are “degrees of success”, and the ultimate success of a business initiative requires that all parties be on board with it.  Businesses who recognize a need to improve their analytical capability, but who do not then empower their systems, processes and people, will not achieve the same result as those who do.

Focusing on the business data, it is important to address both the volume and disparity by creating formal data management practices and policies, and implementing systems and processes which assist with the intelligent capture and storage of business information.  Simply retaining the data is not useful; it must be presented and applied in a meaningful manner for it to become useful as decision-supporting information.  The value of the information increases dramatically when it becomes truly useful to the business.  Additionally, by empowering a broader framework for data collection and analysis, businesses extend the “intelligence” to others in the organization, supporting individual and workgroup efforts to make better decisions for their respective areas of responsibility.  Of course, if the information is not provided in a timely manner, its value is reduced if not eliminated (hindsight may be 20/20, but that doesn’t help you see where you going to step next).  Any approach to building business intelligence should leverage connectivity and integration to provide a timely delivery of complete information how and when it is needed.

Accounting Professionals Should Do This: Be Proactive and Regularly Communicate with Clients

I’m not sure where I heard it, I think it was a sky diver on TV, who said about the sport “you’re dead until you do something about it”.  At the same time that I realized that I never wanted to sky dive, I also realized that this fairly desperate philosophy at some level applied to a lot of business situations. Weirdly enough, one of them was how this relates to public accountants and bookkeepers working with small business clients.

One of the things I’ve heard a lot throughout the years is that bookkeeping and doing other work for small business clients is tough, because they never bring you the information you need when you need it.  With a philosophy of “help me help you”, accounting professionals are trying to find ways to make it easier for the client to deliver the work to them.  The missing element, however, is a closer working relationship with the client, coupled with PROACTIVE and REGULAR (please note the big letters) reminders that getting the work to the professional is the only way to get it processed in time .

How many firms really communicate with clients only during tax season?  Is the client organizer your main method of reminding them that you’ve got a relationship?  It’s not even funny how many business owners couldn’t name the accountant who did their tax return last year, and who don’t seem to care to know.  This is definitely not the way to build and retain client relationships, yet it is the approach many professionals take.  And then they wonder why the client base isn’t growing, and why they are having a hard time “communicating their value” and they want to know how to get more of that profitable “higher level” work.

You’re dead until you do something about it.

Put into the context of the reactive accountant, it starts to make sense.  Accounting professionals must be proactive – be doing something to build customer loyalty and retention, be actively and regularly communicating with clients so it’s not a mad rush during tax season, and be implementing tools and solutions to help them offer more meaningful services to their clients.  This is how to make the firm grow and thrive.  So, go do something about it.

Knowing Enough to Run a Successful Business

If you own and operate a business, you probably want to make it successful.  Granted, success comes in many flavors, and there are also “degrees” of success, where maybe you do okay but not as well as you’d like (or not as well as your local competitor).  Running a successful business, and crafting a business with sustainability and long-term value, takes information as well as know-how.   Remember that information = power and you want to be as powerful as possible when it comes to running your business.

While today’s information technologies, mobile devices, and “everything as a service” have the capability to deliver way too much information for the average business owner to make sense of, there are a few areas of the business where investing in a little insight and reporting can make a big difference in the level of understanding you have about the business.

Rather than making decisions based on guesses or gut, business owners should use actual historic data relating to these are key areas (and key performance indicators) to help predict sales and order volumes, estimate cash flows, and forecast profitability.

Getting Customers

The “customer lifecycle” does not start when someone buys from you, it starts when they become a potential customer (often referred to as a target).  Even before someone buys, your business may expend resources to expose your brand or product to them on websites, in advertisements, and through other marketing channels.  These marketing efforts will (hopefully) result in the generation of qualified leads for the business to sell to.  Unless the business understands the costs involved and the efficiency of the marketing and lead generation efforts, it cannot understand the actual cost of getting a new customer.

The next step in getting customers is turning a qualified lead into an actual paying customer.  The business will want to keep track of conversion of leads into customers, along with sales data including total sales, number of items sold, and how items were priced.  Powered by sales performance data, business owners can learn whether or not their lead qualification efforts are working, if their products are competitive, and if the pricing is in alignment with the industry.

Producing Work

When businesses operate, they essentially produce whatever work product their business model is designed to produce – whether it is a professional service, product, logistical support or whatever.  Every business produces some type of work product.  This is the operational aspect of the business, and business owners should want to know as much as possible about how well operations are running and how effective the operation is.   This isn’t just the cost of production, (the yield expected for a given investment in materials or equipment), it is also about the quality of the product (customer satisfaction) and the quality and value of the service behind it (customer retention).

Keeping Money

Money (more specifically, cash and the availability of it) is the metric that most small business owners tend to focus on.  It makes sense, too, given that most small businesses survive based on what they have in their bank accounts.   Then again, looking at the accounts receivable and payable won’t tell the entire story, either.  Business owners need to know how quickly their customers generally pay, and they need to know how much capacity or inventory they have before needing to buy or develop more.

The message underlying this entire discussion is that fact that you can’t analyze what you can’t quantify (no information = no power), so it is essential that systems be in place to capture information from the business and its activities.   Further, recognize that it takes some skill and experience – perhaps from your trusted accounting professional – to put the information together so that it makes sense and is useful.
