Like your Cheese, the QuickBooks ProAdvisor Website has Moved

Intuit is making big changes to the QuickBooks ProAdvisor program and website, clearly reflecting the desire to keep QuickBooks Online edition at the forefront of the solution set.

The QuickBooks ProAdvisor benefits are now delivered within QuickBooks Online Accountant, including desktop licenses, etc.  Earlier this year, Intuit began redirecting to QBOA for those looking for the ProAdvisor program information, and now the entire ProAdvisor site is about to be fully retired.

Those working with QuickBooks desktop editions should pay close attention here, because being a ProAdvisor no longer means simply getting training and software.  The belief is that all ProAdvisors are professionals serving a client base, and that these professionals should use QuickBooks Online Accountant to manage that client base.  Staff accountants, bookkeepers and those who wish to get accredited for their QuickBooks training, whether desktop or online, will be able to manage that activity only from within the QBOA app.

The ProAdvisor website used to be where enrolled advisors could obtain their training, certification, manage their listings for referrals, and get their software.  With the introduction of client and practice management features geared towards helping ProAdvisors manage their entire client bases (QBO and QB desktop clients), it seems that QBOA is now the sole way for professionals to engage with Intuit as ProAdvisors, too.  No longer a standalone site, ProAdvisors must now enroll and access their program benefits – including desktop benefits – as QuickBooks Online Accountants.

Accounting Professional Value is Insight and Advice, Not Just a Hosted Server

Back in the late 90’s, when the application service provider model was first established, a number of providers recognized how beneficial it would be for public accountants to use hosted applications to work more closely with their accounting and bookkeeping clients.  Seeking markets which would rapidly adopt a hosted application model, these providers focused on hosting small business accounting solutions such as Intuit QuickBooks desktop products, and then sought participation by the largest addressable communities of users working with those products – QuickBooks ProAdvisors, bookkeepers and accountants.  The idea was that the community of QuickBooks professionals would benefit by bringing their clients onto the hosting platform, and service providers could sell to one professional and gain a bunch of small business users.  It made sense, too, as it allowed the professional to have a single service and login that allowed them to access all their client QuickBooks company files.  The client could log in to the system, too, delivering remote access and managed service benefits to the client, as well.  But there was a catch, and it didn’t fully reveal itself until recently as cloud-based applications and true SaaS applications began to gain market adoption.

The problem actually started to reveal itself as more businesses elected to adopt hosting services.  There’s a saying amongst the QuickBooks hosting providers that “nobody uses just QuickBooks”.  Saying “nobody” uses just QuickBooks is a bit of a stretch, but the reality is that numerous businesses use other applications and software solutions in addition to their QuickBooks product.  Sometimes these products integrate with QuickBooks and sometimes they don’t, but it is not often that a business utilizes just the one software solution.  At minimum, there are likely email or productivity tools in use, too.  The point is that the QuickBooks hosting providers – those hosts focusing on providing service to QuickBooks accountants and small business clients – realized that the number and variety of applications desired by their customers would grow very quickly, as would the variety of needed implementation models.  The unfortunate solution of the time was to just put it all on the same environment.

The original selling message to the QuickBooks consultant and accountant markets was that they should get all their clients on to the hosting service, and then the accountant could benefit from an “economy of scale”, making the cost of the overall delivery lower.  Further, by grouping the firm and the clients into a single hosting environment, it would make application and data sharing easier.  Both of these messages are true, but putting the firm and its clients into a single environment – with the firm as the “sponsor” and front line promoter of the service – began to have impacts which were not clearly foreseen.

  1. Accounting professionals and consultants changed the nature of their relationship with the client, going from trusted advisors to technology and solution vendors.
  2. Client business technology needs were placed as secondary to “enabling” the working relationship between the accountant and the small business client.
  3. Attempts to fully satisfy client technology requirements overburdened and impacted the environment, reducing overall service quality and satisfaction and diminishing the value of the scale economy (as well as the clients’ perception of their accounting professional).
  4. Firms structured their processes to support a single technology and operating model, and found difficulties in adopting new strategies or solutions.

In concept, having accounting professionals and their clients all working seamlessly together in the same systems sounds great.  For some firms, a cloud server packed with all the firm and client applications and data enables an entirely new business and service model, which is very cool and it actually works (for some firms and their clients).  But the problem – a problem which may not be fully revealed in the short term – is that the various businesses involved, from the accounting practice to each and every client, has different business needs and operates as a unique organization.  While there may be fundamental similarities, “the devil is in the details” as they say, and a single platform or hosting solution is unlikely to really work well for all.  Even more potentially damaging, the perception of the trusted advisor who is now viewed as a vendor of IT services or software erodes the value of the client engagement and the potential for the firm to deliver greater benefit through their core offerings.  A business owner is more likely to change vendors of IT service than they are their trusted accounting or finance professional.   And they’re also more likely to change IT service providers if the provider cannot deliver exactly the application or service desired.  When the accounting professional is perceived to be the IT service provider, the lines are blurred and the client ends up attaching their loyalty to a software product or business solution instead of the accountant advisor OR the IT provider.

With SaaS and native web-based applications being broadly adopted by small businesses, the opportunity for firms to engage with clients in different ways and with different solutions started to break the one-size-fits-all hosting approach.  Professionals found that empowering their clients by supporting properly fitted solutions which work for the client business delivered the opportunity to become more operationally and strategically involved with the client business.  Deeper operational and strategic involvement with the client became the means to drive increased value in the engagement and services offered and delivered.  The client business was able to benefit from the involvement of their trusted advisor, regardless of what platforms or systems might be in place.

Accountants and bookkeepers are recognizing that the previous model of aligning the practice with a particular software product or delivery system may not be the best approach to building and retaining the customer base.  With new business accounting and bookkeeping solutions emerging regularly – and gaining broad market adoption – and as more and more varied cloud based services and solutions are applied to various business problems – professionals will further recognize that their value is not tied to a cloud server, a single small business accounting solution, or to any particular technology.  The value of the accounting professional is not in the software they support or the server it runs on.  The value of the accounting professional is in the insight gathered and advice provided – services offered which help support better business management, growth and profitability.

qb2014Intuit QuickBooks is the recognized standard for small business accounting, and the introduction of the QuickBooks Online Edition was a testament to Intuit’s understanding that users are looking for SaaS solutions as well as traditional desktop products.  While it may seem that the entire market is moving to online applications and everything-as-a-service, the Intuit desktop products remain the leading business computerized accounting tools.  Intuit does seem to recognize that many things can be done better with a “software-as-service” model , and that the number of businesses seeking purely web-based solutions is growing, and this is evidenced by the fact that many features and presentation elements in the Online edition are making it into the desktop editions.  Creating consistency throughout the product line makes sense for users, and leveraging the benefits of shared service makes sense for Intuit.

In a previous blog article entitled Changing How We See Software: QuickBooks 2013 interface frustrates power users, I had suggested that many of the interface changes introduced with the 2013 QuickBooks desktop editions were a step towards unification of interfaces (to the degree possible) between desktop and Online editions.  Additionally, integrations with various connected services, Intuit payroll and payment solutions, and other online service elements clearly demonstrate that certain functionality and service offerings will be provided consistently through either solution set.  Another new “unified” feature announced for QuickBooks desktop is the Income Tracker, a feature that originated with the QB Online edition.

The Income Tracker provides you with a fast way to see the status of your unbilled and unpaid transactions, and provides you with features to improve billing/collections as well as perform a number of batch procedures… This feature was first developed in QuickBooks Online, and this year Intuit has brought it into QuickBooks Desktop

The introduction of a purely subscription licensing model for the desktop products is yet another move towards enabling the pay-as-you-go subscription model for purchasing software.  Businesses are able to purchase “plus” subscriptions, which provide not only perpetual most current version software but also deliver support for the life of the subscription.  This is another change from the more traditional boxed software approach, where the product was a one-time purchase and came with short-term or limited support.

It seems that many of the changes introduced with 2014 indicate that online service and subscription pricing models will continue to introduce themselves into the QuickBooks desktop products, and users who change from one solution to another in the product family will find more familiarity and consistency in the attached Intuit services they also use.

Many independent software vendors and developers of business applications are recognizing the value of subscription service models and the benefits of leveraging web-based applications and shared services within their solutions.  For software companies, turning a one-time sale into a recurring revenue stream is highly desirable.  From a development perspective, one project could service the entire product line, rather than efforts being divided among multiple products.  From an operational perspective, infrastructure and personnel are able to centrally service the functional requirement, providing the same benefits of shared service that users of SaaS solutions experience (it may simply be internal rather than external customers being served).

The point of the discussion is that, while QuickBooks desktop editions may not be going away any time soon, there is wisdom (and business necessity) which is likely to drive even more subscription model SaaS inclusions in those products that were once purely and firmly planted on the desktop.  Even good old QuickBooks must change, and for the most part, users are seeing benefit in those changes.

Accounts and ProAdvisors: Make sure you “enable” only those who need it

In this wonderfully interconnected world of hosted and online applications and the integrations which complement them, it is important to not let the excitement of connectivity and collaboration replace reasonable control.  While there is much conversation on this topic when it involves file sharing and similar services, the discussion of data synchronization and data integration doesn’t often come up.  However, it has been my experience that there is usually a misunderstanding in how, exactly, a particular sync or integration should be applied and who should have access to the functionality when it is deployed as an extension of the QuickBooks desktop financial software.

An example of the problem might be seen when QuickBooks desktop editions are set to integrate or sync data with a web-based solution such as Method Integration or Santrio Open for Business Order Bridge.  Solutions like these, which extend the functionality of QuickBooks through extending access and integrating data, rely upon QuickBooks integration functionality move data between their solutions and the QuickBooks database.  These solutions are quite beneficial for businesses because they can affordably deliver support for various business functions via a true web application and incorporate QuickBooks data in those application views.  Additionally, this type of solution is able to push information from the web application to QuickBooks, allowing for complete integration of financial and other relevant data.

While having this type of integrated service is beneficial, there are a lot of businesses who don’t fully understand how to appropriately implement the solution and end up creating a great deal of difficulty for themselves.  One of the most frequent failures I have seen when implementing this type of solution is where the customer doesn’t really understand who should or should not have the integration.

When a web-based solution exchanges data or syncs with QuickBooks, a path is created to communicate between the two systems – the web solution and the QuickBooks application and data file.  This path must be open, and both sides of the communication identified, in order for data to sync.  The most important thing to remember is that there should be only one controlling entity on each side handling the integration.   What this means for QuickBooks users is that only one installation – one PC accessing QuickBooks – should be configured to facilitate the primary integration with the QuickBooks company file.

To illustrate, consider an implementation of Method Integration and QuickBooks that was done for a business some time ago.  This business used Method-based applications for a variety of business functions, and those applications used data sync’d from QuickBooks desktop.  Just after implementation, it was discovered that system sync’s were not happening as they should, and sometimes when they went to sync data, it would take a huge amount of time (which was not supposed to be normal behavior).  In short, the system proved to be problematic and, at times, unusable.  But the problem didn’t have anything to do with the Method Integration system, nor the technology.

The problem was that all workstations in the office were set up to sync data between QuickBooks and Method.  QuickBooks was installed on all the PC’s, even though most of the users did not use QuickBooks (they used the Method Integration system to do their jobs), and each PC had the Method Integration sync engine installed and set up to run.  This caused the system to be frequently overloaded with sync requests and caused QuickBooks to behave erratically or crash.  In addition, users who did not need (and should not have had) access to QuickBooks financial information were starting up QuickBooks and opening the company file every day because they thought it was required to allow them to access or use QuickBooks data in the Method Integration system.

The benefits of using web applications which can connect to and integrate data with QuickBooks is that a business can give users functionality and data access required to get the job done, but not expose those users to more software or data than they need.  In most cases, if not all, QuickBooks is not necessary for users of the web application (saving you the cost of purchasing and installing QuickBooks for these users).  Further, to ensure proper functionality and to remove any possible conflict or confusion in the sync process, only one workstation with QuickBooks should be set up to sync data to/from the web solution.  While it makes sense to have a “backup” PC setup with the ability, syncing should remain inactive on this machine unless the primary “sync machine” is out of service.  The key element to remember here is that the data coming from the web application is being added to the QuickBooks company file.  Once the data is in QuickBooks, QuickBooks users may access the data from QuickBooks and do not need the connection to the web application.

When deploying this combination of solutions with a hosting service provider, the same rules will apply.  Only users who need the sync capability require service with both QuickBooks and the integration installed.  In some cases, this may make selection of host services more affordable, as only those who need the “additional application” (being the sync solution or integration tool) require customized service, and the rest of the QuickBooks-only users need standard QuickBooks service.  *It might also be worth noting that many hosting providers do not support “persistent” connections – sync connections which continue to run even when you are not logged in), so syncing of data would only be able to occur if the primary user was logged in to QuickBooks and had the sync integration active on the host solution.

Accounting professionals, QuickBooks ProAdvisors, and small business consultants can help their clients understand the value and potential of extending QuickBooks desktop editions with connected web-based solutions.  The additional value these professionals bring to the conversation is the understanding of the need for structure and control of the data flowing into and out of the financial systems, offering their expertise to ensure that the accountability and appropriate treatment of the information exists throughout the business.

QuickBooks 2013 interface frustrates power users

You’re an accounting, bookkeeping or business professional and have been working with QuickBooks desktop software for years.  Your processes and methods for using QuickBooks to manage client accounting have been developed over time, and have been refined to the point where you are able to maximize your efforts and efficiently handle all your customer requirements.   Sure, there have been changes in the software over the years, and many of them have proven to be helpful.  But sometimes you have to wonder what they were thinking when they changed the interface for 2013.

Initially I thought it was the grumbling of a few people who simply resist change, some admittedly so.  But then the grumbling got louder, and started to come from folks I would expect to hear only “happy rainbows and sunshine” from when it comes to QuickBooks.  The new interface, they say, “sucks”.

So what’s the issue?  What did Intuit do with QuickBooks 2013 desktop editions that has inflamed so many devoted users?  One ProAdvisor puts it this way: “Basically no real enhancements at all, just the interface and relocation of options”.  In short, QuickBooks desktop editions now look a bit more like QuickBooks Online Edition, and “there’s extra stuff in the navigation – Intuit stuff“.

I understand Intuit’s motivations for making the desktop and online editions appearance more similar.  After all, the benefit of the QuickBooks product line is that you can start with an entry-level edition and move up the product line to more features and functionality without converting to and learning entirely new software.  Since the online edition of QuickBooks is positioned as the entry-level product for some businesses, it makes sense to continue that same look for the user as they upgrade to richer desktop editions.  Unfortunately for many accounting and bookkeeping professionals, this means giving up on some of the usability you’ve come to expect (like being able to fit all the necessary information on the screen, and having easy-to-read menus, or not seeing a lot of unusable space on the screen, or even being able to suppress Intuit in-product offers).

Many companies have successfully increased their revenue potential by adding offers for services via links in the software interface, which is much more acceptable now that people have adopted web technologies and are familiar with the “hyperlink” concept.  Building additional value (and revenue streams) in the solution makes sense from a business perspective, which is why you see so many software companies moving in this direction.  Software solutions and services can interconnect seamlessly and transparently via the web, so we should all expect to see software makers engage their customers in as many ways and with as many products and services as possible.  For Intuit, this means being positioned to take advantage of, initially, their partner network of interconnected solutions and, later, their own direct offerings in each area.

Software developers like Intuit DO listen to their users and market influencers, as they value your continued patronage.  They have come to learn, however, that devoted (or invested) users will accept change eventually – even more so when there is a chance to use the change to generate business opportunity.  QuickBooks accountants and trainers rely on change in order to keep their clients coming back for more.

The real target is the new user – the business not already adopted into the product – and it is primarily for this new user that the interface changes were made and in-product advertisements targeted to.

In the case of Intuit’s interface selection for QuickBooks 2013 desktop editions, it might seem like there’s “no enhancement, just the interface change”.  I would suggest, however, that the interface change IS the enhancement Intuit elected to deliver – enhancement of the acceptance of the online edition and connected services.
