Intuit Makes Moves to Push Low-End QuickBooks Users to Online Edition

QuickBooks Pro and Premier Subscriptions No Longer Available After July, and It’s Bye Bye for QuickBooks for Mac

 

Final sale date for QuickBooks Pro and Premier

On November 30 of this year, Intuit notified its partners and customers that the final date for new sales of QuickBooks Desktop Pro, Desktop Premier, Mac, and Desktop Enhanced Payroll is July 31, 2024. Starting in August, QuickBooks Pro and Premier subscriptions, along with Mac versions and desktop payroll services, will no longer be available for purchase. QuickBooks Enterprise, which is a desktop edition, is the only QuickBooks version that will remain available for new subscriptions. 

For several years, Intuit has been improving their online version of the product while migrating as many customers as possible to that platform. Now, businesses that have invested years of user training and business process development are forced to decide if the online version of QuickBooks will meet the needs that the desktop editions have for years, and they must look at the realities of potentially re-training users and re-developing workflows and processes. 

QuickBooks Enterprise is a viable alternative 

The alternative is that businesses adopt QuickBooks Enterprise edition and retain the value of user knowledge and process support by remaining in desktop QuickBooks. For businesses that manage multiple company files, QuickBooks Enterprise provides the same multi-company capabilities that Pro and Premier do, something the online edition does not currently support. 

There is no change to QuickBooks Desktop Enterprise subscriptions. All QuickBooks Desktop Enterprise subscriptions (Silver, Gold, Platinum, and Diamond) will continue to be available for purchase for new customers. QuickBooks Enterprise Gold, Platinum, and Diamond subscriptions include integrated payroll. 

Flexibility of Desktop Applications on the Cloud 

With the announcement, many accounting professionals and their clients are not sure what the best path forward is. While there is momentum behind the online application, there are options for staying with QuickBooks Desktop and still take advantage of the cloud. 

For businesses that want the flexibility of using the cloud but that need the features and functionality of desktop QuickBooks, Noobeh cloud offers QuickBooks on Azure services. If a business has an existing QuickBooks Desktop Pro Plus, Premier Plus, Mac Plus, or Enhanced Payroll subscription, they can continue to renew their subscription after July 31, 2024. Intuit will continue to provide security updates, product updates, and support for existing subscribers. 

Intuit will also allow accountants to continue purchasing QuickBooks Accountant Desktop Solutions, including ProAdvisor bundles, directly through the QuickBooks Accountant Sales team. 

What to Do 

To avoid losing access to QuickBooks desktop, businesses should purchase a QuickBooks Desktop Pro Plus, Premier Plus, or Mac Plus subscription through the QuickBooks Accountant Sales team before July 31, 2024. Businesses that need a desktop payroll solution should consider purchasing a QuickBooks Enhanced Payroll subscription before July 31, 2024, or upgrade to QuickBooks Enterprise Gold, Platinum, or Diamond, all of which include integrated payroll and can still be purchased after July 31, 2024.

4 Rules of Thumb for Better IT Security

Your business is a target. The simple fact of being in business makes it so. There are a lot of bad actors out there who will go to great lengths to get your personal and financial information, and they have many different and innovative approaches to get it. There are some small steps any business can take to make a big impact in protecting business data.

Here we present our 4 Rules of Thumb for better IT security; a starting place if you’re looking for somewhere to begin.

We can’t stress enough that every business should make it a priority to implement some basic information/technology security standards and regular employee training. Having more discussion on the subject helps everyone in the company learn and shows that management is paying attention. Remember that business data isn’t just word documents and spreadsheets. It’s banking and financial and other information, employee information like social security numbers and direct deposit info, customer, vendor information and more. For even a small business, the possibility data exposure or loss isn’t trivial.

NOOBEH cloud services works to keep your QuickBooks on Azure cloud deployment more secure in a variety of ways, but we always start with a few essential policies. These rules and policies can mean the difference between a small IT annoyance or catastrophic failure and data encryption, loss, or exfiltration. If you haven’t implemented these four essential policies in your business IT environment, today is the day to start.

  1. Always use strong passwords, at least 10 to 12 characters, and make them complex. Require passwords to be updated periodically. Don’t reuse passwords and avoid common words or phrases.
  2. Don’t let users operate with permissions greater than required. In applications, consider restricting functionality based on the role or job requirements. On servers and PCs (Windows, Mac, whatever), make sure users are operating as “standard” users rather than system administrators. When you reduce the permissions granted to users you prevent their accounts from performing possibly harmful actions in the system, like installing malware or damaging programs, modifying settings, or even creating backdoor user accounts.
  3. Control user account information and manage it closely. Simply knowing what user accounts exist can give hackers and phishers enough information to begin targeting logins and applying methods to crack them. Part of this includes making sure to remove or disable accounts for user accounts that are no longer needed. Every unused account that remains enabled is just another point of vulnerability. Protect system and administrative accounts and directories (like Microsoft Active Directory). Make certain that you only grant access to sensitive system and account information when absolutely necessary, and only to a completely trusted source. Also make sure to have at least one “break the glass” (back door) admin account you can use if the regular administrative account(s) become compromised.
  4. Limit the installed software to what is needed for the business and keep it current. Make sure operating systems and applications are up to date, and keep browsers and plugins updated to make sure they don’t become the weak link.

Cyber criminals are delivering waves of cyber-attacks that are both highly coordinated and far more advanced than ever before seen. Endpoint attacks have become complicated multi-stage operations, ransomware hits small business and enterprises alike, and stealth crypto mining got criminals into unsuspecting corporate networks. The year has been awash with massive data leaks, expensive ransomware payouts and the realization of a completely new and extremely complicated threat landscape. The bad guys have upped their threat game in a big way.

Diligence is required to help protect valuable business information assets. Following these four rules of thumb will help the business avoid becoming easy prey and can provide a foundation for greater system security and a more streamlined approach to identity management, applications and access.

Considering Deploying Microsoft365 for Your Entire Organization? Success is in the details.

Technology is ever advancing, and even the smallest of businesses must keep in step to remain competitive. Efficiency is the key to modern, effective operations, yet keeping teams aligned and working towards the common goal can be tougher than ever when members are remote working. Microsoft solutions can help the business increase productivity and modernize their operations, and at the same time provide stronger security and enhanced protection.

For just about every business, it makes sense to consider using Microsoft 365 services. But there are a lot to choose from, and not all services work as you might expect, so here is a little information that might help with making service selection a little easier.

Does it make sense to implement Microsoft Teams for intra-company calls, meetings, and collaboration?

Teams is great for calling your co-workers, sharing screens, presenting content, and collaborating in workgroups or with the whole company. But be warned that Teams meetings don’t work for everyone, particularly those outside your organization or for users that don’t have useful Internet connectivity.

  • To use Teams with people outside the company, or even for users that don’t have Internet connectivity, you’ll need to also have a calling plan for each user.
  • A calling plan allows Teams to connect a phone number to the Teams meeting, creating a means for non-Teams users and those without internet to connect to the meeting audio.

Should you migrate employee email inboxes to MS365 (Outlook Desktop and/or Outlook Online)?

Using Microsoft for email services make a ton of sense, especially with the advanced phishing and threat protection that comes standard with the service. It is pretty much foolproof for most businesses and is a great value. If your business is migrating to Microsoft from a legacy email platform or from a different mail provider, there are a few things to consider.

  • Many companies use their desktop Outlook email folders as a sort of file cabinet, storing and categorizing emails for future use. In older MS Exchange environments, Public Folders were also used, enabling company-wide access to certain email folders and the file attachments within.
  • MS365/Office365 email services don’t support public folders, and every email box comes with a storage quota. If the business is used to saving lots of emails, then it might create difficulties with mailbox management.
  • Outlook Desktop still has limitations on the file size it can reasonably handle. This means that Outlook, when connected to hosted Exchange mail (Microsoft365), should run in cached mode, keeping only recent data in the Outlook file on the computer and leaving the rest of the mail on the server. Mail on the server is still available for search by Outlook; the program will simply search in the local data file first.

Can you, or should you, migrate your company’s files to the Microsoft cloud?

Keeping your files on the “cloud” is a concept that sounds convenient, but it isn’t quite as straightforward as it sounds. In this case, the idea is to migrate files from PCs and servers to Microsoft OneDrive or SharePoint, where the files can be available to all users regardless of where the user is working from.

  • Putting a big hard drive on your PC or server can be relatively inexpensive. “Storage is cheap” we hear quite often. Yet all storage facilities are not alike. It might be a cheap option to add a big hard drive or USB drive to your local system but paying for storage space on the web becomes a different deal. You may find that safe, protected storage for your files is not quite as inexpensive as you thought, especially over time. When you must pay every month for the storage you use, you rapidly realize why file housekeeping is essential.
  • File and folder permissions do not translate from your Windows file system to a SharePoint or OneDrive. You must create your own groups and set file and folder permissions as you want them AFTER the data is uploaded to the cloud platform.
  • Once the files are in the cloud platform, each user must determine what and how the files will sync with their local computers. There may be an option to “sync on demand” (depends on device platform) that can allow users to selectively sync files to/from their computers, but the fact remains that the data is being downloaded to the local computer so that it can be worked on. This still means that the local computer must have the necessary software installed, and the PC should be protected with backup, anti-virus and anti-malware and MFA.
  • Database files cannot work in a web file location. This means that programs that have associated database/data files must still have their files located on a network server for users to access them. QuickBooks, tax software, trial balance software, workpapers and fixed assets, inventory management or manufacturing, and more may require the server to serve the application and/or data to the users. This means that servers and networks and the need to manage the network and the individual computers remains in full.
  • If all other data is stored on the cloud platform, then you now have data and resources to manage both places.

What does the new Microsoft365 Cloud PC mean for small businesses?

  • The new Cloud PC from Microsoft365 can solve a tremendous problem for the very small business in that it can become the IT infrastructure and it is fully cloud platform.
  • Cloud PC is meant to replace your local PC as your operating environment. Rather than installing software and storing data on your local device, the idea is that your software gets installed on your Cloud PC and your data is stored, ideally, in your OneDrive, or maybe on the drive of your Cloud PC.
  • This makes the Cloud PC a perfect solution for that single user that needs to run their QuickBooks or other applications from anywhere.
  • The thing with the small business Cloud PC is that it cannot be networked. It may be able to “see” and work with your local device hard drive or even mapped drives that your local device is connected to, but it isn’t able to work with a network server or share like a local PC would.
  • This means that you may be able to store and retrieve files from servers or other drives on your local PC or network, but you won’t be able to access databases or other server or network-based applications that need the network to function.
  • This also means that you can’t share data on one cloud PC to another cloud PC… they aren’t networked together.

Considering Cybersecurity as Cloud Work Expands

When the pandemic forced many business users to move to remote work, it also forced the network security “boundary” to expand greatly and with great speed. Companies quickly adapted their tools and work so that it could be done somewhat effectively even as the employee working environment changed.  But new security models to match with new working models have not as quickly been adopted.

Business cloud workloads grew, by some estimates, as much as 20% just in the first 6 months of 2020. Yet many of those businesses electing to bring cloud working models to their business also made of the mistake of not expanding their security as they expanded the cloud network. This leaves systems and information vulnerable. Phishing, ransomware, credential theft and web app attacks have increased, catching businesses in their vulnerable states.

Even more than on-premises systems, it was the external cloud-based data and applications that were under attack because so many companies expanded their use of cloud services without enhanced security as part of the plan. Intuit Reduces Migration and Support Options For Moving From QuickBooks Online to QuickBooks Desktop

Need to convert data in QuickBooks Desktop to QuickBooks Online? You can get help from Intuit with this. Need to go the other way and convert from QuickBooks Online to QuickBooks Desktop? Not so much… So please read on.

In a surprise (and very quiet) announcement to QuickBooks Solution Providers, Intuit recently announced that it no longer freely provides data export functionality that allows businesses to convert their data from QuickBooks Online to QuickBooks Desktop. As of 12/18/2020, if you want to move your data from QuickBooks Online to QuickBooks Desktop, you have different options for how to do it and will get less support from Intuit in the process.

It is no great surprise that Intuit made this move. Even prior to ending the service, exports from QuickBooks Online to 2021 versions of QuickBooks Desktop had become quite difficult anyway. Requiring users to login to their Intuit account to create a new company file interrupts the QuickBooks Online attempt to create a new file in QuickBooks Desktop during the conversion, so the entire process became broken. (Note: Our solution is to create the new QuickBooks Desktop file in an earlier version of QuickBooks that does not force the Intuit account login, for example 2019, and subsequently upgrade to the latest version 2021).

The QuickBooks Online web-based service locks you into a subscription, delivering recurring revenue to Intuit. Logic follows that now it has become more difficult to get the data back out of QuickBooks Online in a useful way.

Intuit is still allowing businesses to migrate list data out of QuickBooks Online (think Customers, Vendors, Items lists only), but this is not a very clean process for migrating an entire company data set. Particularly since it involves exporting lists to Excel, manipulating or massaging the data and then importing into QuickBooks Desktop. You can see how this introduces a variety of ways to mess it up. And still this does not get the historical transaction data.

Another consideration is that QBO allows businesses to alter the screens and data stored in the product, and to use that data in ways that QuickBooks Desktop doesn’t necessarily understand. For example, simply adding a field called “job” to invoices in QBO does not mean that QuickBooks desktop would see that data and recognize it as a Customer:Job. That field in QBO doesn’t actually mean anything other than to the user so it isn’t something that could be automatically understood in a conversion. For any conversion of data to be done properly, there needs to be a clear understanding of what data is stored in QB Online, how it is used, and how that data needs to be translated to QB desktop.
