State of the Union: The Irrelevance of Good Accounting?

financeI’m a little concerned, and any professional in accounting and finance who works with small businesses should be just a little concerned, too.  Why?  Because there is a belief out there that some nifty software and Internet Of Things (IoT) approach to finance will ultimately eliminate the need for a small business to work with skilled, trained accounting professionals.  Remember the marketing slogan introduced by Intuit with QuickBooks – the one that suggested that, “if you can write a check, you can do your own books”?  Most accountants will tell you that it is not true, and the ability to operate a product like QuickBooks does not magically turn poor accounting and bookkeeping information into good business data.  In fact, it most frequently enables bad information to turn into bad business decisions – quickly.

DIY bookkeeping solutions have been around for a while, so why the distress about it now? Up until this point, it hadn’t been so overtly stated to small business owners that having less-than-great accounting data is very much OK, and that the role accounting professionals play in small business finances is more of a burden than benefit.  Consider the statement made by President Obama in his recent State of the Union address:

“Let’s simplify the system and let a small business owner file based on her actual bank statement, instead of the number of accountants she can afford”

If I’m an accounting professional, I am pretty steamed up about that statement because I know how screwy business accounting data gets when the work is done by folks without the proper training.  Incorrect or improper accounting treatment can make a big difference when it comes to filing those taxes mentioned…. and not in a good way.  That transaction on the bank statement… Is it a cost of goods sold or a regular business expense? Is it an asset or supply item? Is it a reimbursement or revenue?  Is the payroll deduction before or after taxes?  Is that even a viable payroll deduction item?  These questions and more arise frequently in a small business, and the treatment for these items is improper as often as not.

There is a big value in what a trained accounting professional can offer a small business owner, and the value often translates to eliminating unnecessary tax burdens and the delivery of accurate reporting – both of which are really important when it comes to actually trying to grow a healthy and sustainable business.

Small businesses are often considered to be the fuel powering our economy.  Doesn’t it make sense for us all to recognize that smarter businesses are likely to be more successful, and that more successful small businesses means growth in the economy?  The importance of good fiscal and financial management and reporting – in business and in government – is not something to minimize, and suggesting that it takes no intervention or skill to do the job properly reflects poorly not only on the person saying it, but on the entire establishment.

Accessing Small Business Leadership and Development Resources: More for the growing concern

There are a lot of resources available for people who want to start a small business.  From business plans to funding websites to guides on entrepreneurship, the available pool of information on starting up and growing a business is huge.  So huge, in fact, that many small business owners fail to find the things they really need to help them grow the business, expand operations and hire more employees.  While entrepreneurship and starting a business is the first step, the economy grows and flourishes when small businesses grow and flourish.  This is why the site SmallBusinessLeadership.com was started in cooperation with the America’s SBDC.

Among the available resources for small business owners is the Association of Small Business Development Centers, or America’s SBDC.  These association offices are found throughout the country, and represent a wealth of support for small business which is, as we all know, the fuel powering the American economy.  A report authored by James Chrisman, PhD investigated the economic impact of the Small Business Development Center counseling activities in the US in 2010-2011, and found that the centers are indeed instrumental in supporting small business success.

Among the findings is an analysis of the contribution SBDC long-term clients made to the economy, finding that these businesses “added $6.8 billion in incremental sales and 75,166 new jobs to the nation”.  The investment in helping startups and entrepreneurs also demonstrates clear success, with “59.2% of all pre-venture clients” starting a business within one year of receiving counseling from the SBDC.

But the success with SBDC isn’t all about starting up and expanding business– it’s about retaining people (jobs) and sustaining revenue, too.  With economic challenges facing every business owner, the ability to simply maintain the operation at existing levels often becomes the biggest job of all.  In this area the SBDC also performs well for business clients, and estimates that “83,268 jobs were saved and $7.3 billion in sales revenues were maintained as a result of the [SBDC] counseling”.

And talk about fueling the small business economy!  Businesses need financing and capital to operate and grow, and as a direct result of the assistance they received from the SBDC “approximately $3.3 billion in capital” was raised by SBDC business clients, according to report estimates.  Not too shabby when you consider the difficulties many businesses are having with obtaining financing through commercial banks and other funding sources.

There is no argument with the value the SBDC brings to the small business community.  What may be a challenge, however, is finding those resources and getting involved with the information and people who can really make a difference for a business owner in a particular region or area.  While there may be SBDC counselors in the area, there is no guarantee that there’s an easily searchable website or method of gaining a little DIY education without making an appointment.  SmallBusinessLeadership.com addresses this challenge by providing location-specific access to SBDC and other resources for business owners who wish to find experts and insight relating to their particular locale or situation.  Additionally, visitors to the site can explore the varieties of content made available from SBDC offices and small business experts, ranging from success stories and case studies to tips for marketing the business, approaches to improving business process support, or even finding technologies or services to solve specific business problems.

There is no question that the current economy is putting the squeeze on many professional practices. While most accountants aren’t in danger of going bankrupt, there is heightened anxiety throughout the industry as professionals grapple with flat or falling revenues and rising costs. You, too, are probably feeling the effects of the economic downturn, as your clients also look for ways to cut costs.

During tough economic times, a familiar pattern occurs in small business. As production drops, profits drop even faster. Even a slight drop in income sets off alarm bells in the minds of many owners. To stave off a serious decline in revenues, the small business owner will often feel compelled to offer services to customers that might previously have been referred out to “specialists”, or to substantially discount products or services in order to obtain business. Additionally, the business owner will certainly seek to cut business overhead.

This last point has a direct impact on the livelihood of the professional accountant, bookkeeper or business consultant. When businesses tighten their belts, they may not necessarily do it in a logical manner. They may procrastinate by stalling on purchases or putting projects on hold indefinitely. They may buy smaller quantities of supplies, even if this means ordering much more frequently. And they may cut back on their reliance on accounting or consulting professionals.

Banks and Small Business: Finding the “Just Right” Fit Isn’t Easy

Banks need business customers because business accounts provide more profitability than consumer accounts.  By volume, there are more small businesses in the US than mid-size or enterprise businesses, which you would think would be a good thing for the banks – more business customers, right?  It seems not so much.

For many banks, the problem is that they don’t appear to really know how to service – or even identify – these small business customers.  The majority of small businesses in the US don’t have employees, so direct deposit and payroll solutions aren’t something they are looking for.  Many of these small businesses operate from the business owner’s home rather than an office, and don’t generate the revenues (=deposits) that bigger businesses do.

To a bank, most small businesses look like consumers.  These small businesses are treated like consumers – are offered consumer-level services and are not educated on what business banking services might be able to do for them.  In reality, the banks really don’t have much to say to these small business owners, because the services offered by the banks are simply not a great fit.  There are studies which suggest that the small business market is fairly evenly divided, with approximately 50% using consumer banking services rather than those designed for business use.  Given the inability of the banks to even identify those consumer banking customers who are actually small businesses, I would suggest that the percentage is even higher.

There are three primary elements tied to banking which should be better-positioned to assist small business owners in leveraging their banking relationships to the benefit of the business and not just the bank.   If the financial institutions can find a way to meet these three essential needs for smaller businesses, they would likely find that more small businesses would embrace business banking services, resulting in greater profitability for the bank.

e-Payments

Use of electronic payments services represents a growing trend in small businesses and needs to be better-addressed by the financial institutions rather than purely retail providers.  Small businesses are increasingly using the Internet and online technologies to service their various business needs, and payments processing is among the top sellers.  Providing SOLO/SOHO and other small businesses with the ability to process payments at any time and from anywhere has become a big driver for this type of solution.  The popularity of Pay Pal, Intuit GoPayment and Square payment solutions is a testament to the need for such services in the small business market, yet the broadest use continues to be within retail providers rather than directly via the financial institutions.

Entitlements

Security and access controls to account and transaction information (frequently referred to as “entitlements” attached to business accounts) are hugely valuable for small businesses.  Most small business owners engage bookkeeping or accounting professionals at some point, and the process of accounting for the business activities is improved dramatically when those professionals are able to access the information directly from the financial institution.  Unfortunately, it is only with the more expensive business class accounts that most banks provide the means for account holders to grant access to account and/or transaction information for accountants and bookkeepers, financial advisors, etc.  Allowing small businesses to benefit from this type of security and control of their accounts is tremendous, yet the overall costs of the associated business banking solutions are often simply too great for the small business to bear.  The result is either a lack of privacy, security and control, where the business owner must grant unfettered access to account information to a 3rd party bookkeeper or accountant, or the business owner simply continues to pay for manual bookkeeping transaction entry.

Cash Management

Most small businesses operate on cash, and expense and cash management is essential to maintaining operations.  Consumer banking solutions may offer limited capabilities for expense and cash reporting, but the services offered through many business banking portals would be far more beneficial for the business, reflecting trends and providing more insight relating to business financial activities and business behavior.  Unfortunately, many of these services designed for business customers are oriented towards the larger organization, and are far too complicated or expensive to provide real value to the owner of a small business.

Small businesses fuel the economy, yet remain a largely untapped market in terms of business banking and other services.  Small businesses run “under the radar” of many service providers because they have not reached the point where the obviously available business services (e.g, the more profitable banking solutions) seem attractive to them.  Banks need to recognize that serving the small business customer well – providing the services which help small businesses grow into bigger businesses – is ultimately the key to acquiring new customers for whom the big banking solutions fit.

Cash is being spent instead of hoarded, but not on current payables

A recent article on CIO.com reports that, for only the second time in more than two years, “the corporate-cash indicator from the Association for Financial Professionals shows more finance executives (28%) anticipate cutting their cash hoard in the first quarter than are planning to add to it (23%).”

                Companies Plan to Trim Cash Stockpiles | In a reversal of a two-year trend, US finance executives forecast that their organizations’ cash balances will fall this quarter”..

Even more interesting from the article is what businesses ARE doing with their cash.

Although some are spending on acquisitions, more are paying down debt, buying back shares, and issuing dividends, according to Jim Kaitz, the AFP’s president and CEO. Although that suggests companies aren’t reinvesting in their businesses much, those activities are still better than keeping money in low-return cash-investment vehicles.

Okay, so it is expected that more businesses will utilize that “cash hoard” (if they have one) to pay down debt or issue dividends.  But it doesn’t seem that actually paying the bills on time is one of the things businesses are doing with all that cash.  Rather, the “new normal” when it comes to managing accounts payable is to extend that payment out as far as possible, letting the supplier carry the freight so businesses don’t have to dip into that cash pile to cover costs.

Yet another article on CIO.com, entitled When Your Big Customer Wants to Pay Late, discusses the reality that many companies are extending their trade payables to new lengths, allowing them to keep the money for other uses – essentially using their suppliers for short-term financing.  Viewed as a strategy for building cash reserves, it’s also a strategy which burdens smaller companies who aren’t in a position to carry their larger customers but feel they don’t have the power to negotiate otherwise.

Extending payables may be a way to preserve cash flow, but it isn’t really a cost-cutting measure and could even eliminate some cost benefits.  For example, a supplier may offer a discount for prepayment, and businesses looking to reduce operational costs could benefit from taking advantage of these types of discounts.  In other cases, extending payables could make the business subject to interest or late charges, resulting in either a larger bill or in time spent negotiating the charges down.

While large businesses may be building their cash reserves, or simply preserving them for reducing debt or other uses, smaller businesses should also look at the steps they can take to preserve their own cash flow – whether it is through stronger collection terms and policies, by strategically working with the client to get the payments, or by extending their own payables.

When cash is tight, every business along the supply chain wants to find ways to keep the money in their grip as long as possible.

You think good accounting isn’t a big factor in getting business credit?  Consider this tidbit from Intuit’s CEO Brad Smith, from a recent article on Forbes.com:

Two-thirds of Intuit’s QuickBooks customers were declined a loan due to poor FICO scores and other credit measurements. In the Loan Finder trial, a business could opt-in to allow banks to use QuickBooks data to evaluate if a prospect was a credit risk. As a result of this additional data, the banks provided several hundred new loans with an average of $10 million dollars.
